Main duties of the job

They willwork with the EPR Programme teamon planning,identifying anddelivering communications, engagement and otherprogramme activities todrive awareness and understanding ofthe programme and ensuring that staffare activelyinvolvedto ensurethemaximumbenefitsof theprogramme are achieved.

They are expectedtoprovideacomprehensive andhighlyeffectiveapproach to programme communicationsandengagementto ensure staff,patients, thepublic and ourstakeholders understand and are engagedin ensuringourplans benefit patientcare andthecommunities we serve.

They willusechangecommunications bestpracticeand workin partnershipwith colleagues to helpshape and delivera successfulstrategyto engagecolleagues fromallservicesin deliveringthetransformation requiredensuringthelinkages between theelectronic patient record programme and our organisationaland system visions and strategiesareclearly evidenced.They willusetheir own initiativeto identify communication needsandopportunities.

Working for our organisation

Therolesitswithin the EPR Programme teamwithoversightandprofessional accountabilityfromtheAssociate Director of Communications and Stakeholder Engagement andadirect working relationshipwiththe other members of the EPR and Communications team

The team are located across 3 main sites;

Maudsley Hospital (headquarters)

Our Trust headquarters is located at Denmark Hill less than 5 minutes from the train station (zone 2) and is within walking distance from the beautiful green spaces of Ruskin park and the vibrant high-street that offers great shopping opportunities and with a wide range restaurants.

St Pauls

St Pauls is located within the Bromley area and is less than 10 minutes from the train stations (Bromley South, Bromley North and Shortlands) It is within walking distance from the beautiful green spaces of Bromley Park and the vibrant high-street that offers great shopping opportunities and with a wide range restaurants.

Bethlem Royal Hospital

Bethlem Royal Hospital is based in a beautiful setting in over 200 acres of green space in the London Borough of Bromley, South East London. The hospital has easy access to nearby main roads and have offers free parking. The site is within walking distance from of Eden Park and West Wickham overland stations.

Detailed job description and main responsibilities

Key Responsibilities

Tosupportthe programme teamfor theelectronicpatientrecord, providingspecialist andhighly complexcommunication and engagement advice and activities:

Develop, implement and evaluate robust and inclusive internal and external communication plans that reflect our vision and values including developing and identifying opportunities and events to engage staff at all levels

Support and advise the programme team on best practice in relation to communication and engagement

Ensure we reach and hear from people with lived experience of our services and people from groups who are seldom heard from and that their feedback, expertise and insight can inform and develop our plans

Lead on content design, development and production of multi-media collateral to tell the story of our EPR

Build positive networks with colleagues at all levels and actively seek feedback to improve how the programme includes, listens and engages with people

Work across organisational boundaries to ensure consistency and connectivity with other electronic patient record and digital programmes in the Trust.

The teamanddepartment

Our Communications and Engagement Officer will work alongside the clinical and programme team members in delivering an aligned and optimised EPR implementation. They will be part of the programme team advising and supporting senior managers and clinical staff as well as those within the system supplier’s implementation team.

They will be embedded in the EPR programme team but working closely with EPR communications and engagement colleagues and other key colleagues but based within the Trust Communications Team to ensure the work makes best use of Trust channels and team insight.

Communications and Working Relationships:

To develop effective workingrelationshipswithintheprogramme teamand communicationandengagementteam

To buildpositiverelationships withcolleaguesatalllevels across acomplex and geographicallydispersed organisation

To buildand maintaineffective relationshipswithcommunications colleagues workingondigitalprogrammes locally,regionallyand nationally, ensuringclear and effective channels ofcommunications

Toliaise with externalcontractorssuch as designagencies,and media contactsasrequired toeffectively deliverproducts andprojects

To provide training toprogramme teammembers oncommunications as required

To provide tacticalcommunicationsadvicetoseniormanagers and colleagues where needed

Tosupportthe provision ofmedia trainingto ouridentified spokespeople

Tosupport the Associate Director of Communication and Stakeholder Engagement in monitoring political activityin relation totheelectronic patientrecord programme, including writingbriefingson key issues which may be sensitive and contentious in nature

To support the organisation’s communications and partnerships team in the event of a major incident or other emergency as and when required

To present complex and sensitive information to a range of stakeholders, meeting the needs of different audiences

Analytical and Judgement:

Tosetup andmanage evaluationmethods forensuringtheimpact, effectivenessand reach ofcommunicationsand engagement, adjusting plansbasedonthe outcomes required whilealways offering value for money within agreedbudgets

To adviseon howto respond tomediarequests oncomplexandsensitive issues

To prepareregular,easy to understandanalytics updates to measure outputsand outcomes for the programme andforreportsrelevant committees and groups(bothinternalandexternal)

To ensure the consistent use ofourbrand andcorporateidentity, ensuring thatallmaterials and web contentcomplywithNHSguidelines, best practiceand meets the public sector regulations around accessibility requirements

Towork with the web teamtomake sureallcontentinrelationto theEPR Programme on ourwebsiteis currentandisinline withourhouse style, tone ofvoice andmeets accessibility requirements

Tocomparearange of options and useown judgementto decidehowto run theproduction ofmulti-media collateraltotellthestoryofour EPR programme andto persuadeandinfluence peopletochange behaviour where needed

To develop andwriteengagementandcommunicationplansand campaigns, ensuring alignmentacross the EPR Programme

Toleadthe delivery of keycommunicationsand engagementactivities for the programme including:

oInternalcommunications,ensuring theprogramme providestimely andrelevantinformation tostaff andengagewith themthrough a variety of means, buildingstaff knowledge and confidence

oExternalpublic communications,includingseekingoutinteresting stories andconsidering appropriatechannels forspreading positive news abouttheprogramme

oExternalstakeholdercommunications,ensuring thatthey areaware ofkeyinformation aboutus andbriefed ona regularbasis, thatour messages arecommunicated effectively, andpartners areengaged andsupportive ofourstrategic direction

oDigitalcommunications,ensuringthatchannels are exploited to provideopportunitiesfor engagement as well asbroadcast communications and thattheprogramme is usingthe appropriate channels

Toleadon content design, developmentand productiontodeliver timely, effective and engagingwrite, graphics/infographic,audioand videocontent tosupporttheprogramme

To horizonscan foremergingissuesinrelation to communications and engagementfortheprogramme andsubjectto the needs ofthe EPR Programme,where appropriate,otherdigitaltransformation programmes

To ensure thatcommunication andengagement activitiesare delivered withinidentifiedbudgetsandagreed timescales, deliveringmeasurable outcomes

To developbriefs forvideo content asrequired and work withvideographers to filmand editcontentforourcommunicationschannels

Towork closely withcolleaguesintheorganisation’scommunications teamon projects andcampaigns inrelationto digital programmes as andwhen required

Toplanand prepare eventsin relation tothe EPR Programme and the widerdigitaltransformation programme includingvisitsfromexternal stakeholders and VIPs

Qualifications

Essential criteria

1. Educated to graduate degree level or significant equivalent previous proven experience of working at a similar level in the area of communications
2. Demonstrable evidence of continuing professional development

Desirable criteria

3. Membership of a recognised professional communications or marketing institution/body
4. Project management or programme management qualification to post-graduate diploma level or equivalent experience

Knowledge and Experience

Essential criteria

5. Experience of working for a large complex organisation
6. Demonstrates sound judgement in the absence of clear guidelines, seeking advice as necessary from more senior managers where required
7. Understanding of and adhering to the requirement for confidentiality
8. Experience of building effective networks including across organisational boundaries
9. Good experience of working in the communications and engagement field and proven track record of delivery
10. Proven experience of developing and delivering public facing communications across all channels including news and consumer media, social media, events, focus groups, marketing and online engagement
11. Good knowledge of communications and engagement techniques and approaches
12. Knowledge and practical experience of developing communications and engagement plans for the implementation of large-scale organisational change/transformation programmes
13. Experience of writing and producing literature mapped to key organisational messages and strategy
14. Experience of managing and protecting house/organisation style and corporate identity/image
