Role Summary
We are seeking a highly organized, solutions‑oriented Office Manager who brings a strong blend of facilities management and executive‑level administrative support. In this role, you’ll be the heartbeat of our workplace—ensuring our office runs smoothly, our people have what they need to be successful, and our environment reflects the professionalism of a leading financial services organization. Core Responsibilities
Facilities & Workplace Operations
* Oversee daily office operations to ensure a clean, safe, and professional workspace.
* Oversee reception operations including greeting visitors, managing sign‑ins, coordinating escorts, and ensuring security protocols are followed.
* Act as the primary onsite contact for building management, maintenance, inspections, and safety protocols. Support incoming inquiries (phone/email) and direct them appropriately.
* Manage building access for employees, contractors, and visitors.
* Monitor and resolve ServiceNow/work-order tickets and coordinate vendor support.
* Conduct routine space checks and handle minor workspace adjustments.
Vendor & Property Management
* Coordinate with key vendors (cleaning, supplies, coffee/water services, shredding, electricians).
* Coordinate maintenance requests, monitor service levels, and oversee vendor billing.
* Maintain facility documentation and asse inventories.
Administrative & Executive Support
* Build polished, executive-ready PowerPoint presentations and consolidate materials for leadership meetings.
* Manage multiple priorities and meet tight deadlines with ease.
* Coordinate internal events and external client meetings if needed.
* Arrange travel and meeting logistics for leaders and visitors.
* Prepare reports and financial summaries—including working from raw data when needed.
* Draft agendas, set up meeting materials, and book meeting spaces.
* Provide light technical support and triage as needed.
Office Logistics & Support
* Manage office supply orders and inventory.
* Support seating plans, space assignments, and move coordination.
* Ensure an exceptional visitor and employee experience onsite.
Financial Administration
* Support the office/facilities budget, including invoice processing and tracking quotes.
* Ensure accurate documentation and approval workflow management.
What You Bring
* Experience in office management, facilities coordination, workplace operations, or a similar role.
* Strong administrative capabilities, including report preparation, presentation building, and event coordination.
* Excellent organizational skills with the ability to prioritize and manage competing deadlines.
* Strong communication skills and a service‑focused approach.
* Comfort with MS Office (especially PowerPoint and Excel) and digital ticketing systems (e.g., ServiceNow).
* Willingness to roll up your sleeves and assist with light physical tasks as needed.

Compensation: CAD $63,000‑80,000 Annual plus bonus potential
