Office Account Manager - Recruitment Of Business Support and Project Controls
We are seeking an experienced Project Document Controller for our Oil & Gas Operator client based in central Aberdeen. Please note that it is unlikely that it would be financially viable to relocate to Aberdeen for the duration of the contract.
The position is to support a Decommissioning Project and would involve working in the office 5 days per week. Candidates should ideally live in the Aberdeen area and hold an existing UK Right To Work.
Responsibilities:
1. Deliver document control following company procedures for internal/external documentation.
2. Issue and receive documents and drawings in a controlled manner and within agreed time-scales, using company’s EDMS
3. Quality check of document deliverables received from internal and external parties against IM Standards and Specifications.
4. Processing of projects / operational documentation including Engineering, Supplier and Company documentation: registration, issue, distribution, transmittal, tracking, and retrieval of documents received and issued to and from company / 3rd Parties.
5. Maintain the life cycle of comment sheets within the company’s EDMS.
6. Maintain integrity of the EDMS by following defined company procedures.
7. Maintain the electronic records, ensuring these reflect accurate attribute and current document status.
8. Control Document Number, Revision Coding / Revision Status and allocation.
9. Allocate engineering numbering in accordance with company procedures.
10. Create and maintain internal Master Document Register (MDR) for use by the project/operations team.
11. Prepare and maintain project-specific Document Distribution Matrices (DDMs), in accordance with project requirements.
12. Liaise with 3rd Parties regarding documentation submission.
13. Handle document control requests including numbering, tagging, retrieval, searching, etc.
14. Perform bulk loading of records to EDMS.
15. Scan documents and upload files to EDMS as needed.
16. Expedite overdue documentation.
17. Provide reports such as Late Reports and Weekly Document Issue Reports.
18. Process Bridging documents and Emergency Response Plans, ensuring hard copies are available in the Emergency Response Room.
19. Distribute policies and procedures to Platform Supply Vessels (PSV) / Emergency teams.
20. Assist with ad-hoc requests from company and 3rd Parties.
21. Prepare document packages for internal and external distribution.
22. Prepare data packs for Invitation to Tender (ITT) for contract award.
23. Support project/operation archiving for turnover and closeout.
24. Ensure engineering archive documentation is properly captured and controlled.
25. Search and retrieve information within EDMS, including offsite archives.
26. Manage offsite storage requests and retrievals.
27. Comply with Records Management procedures for all documents.
28. Develop procedures and specifications for Document Control scope.
29. Provide training and support in Document Management Systems usage.
Experience & Qualifications:
1. Educated to at least Higher Grade level.
2. Experience in a similar role.
