Overview
The post holder will be responsible for providing high‑quality programme support within the Digital & Data Portfolio at UHL. The role is pivotal in supporting the Digital & Data Team, acting as the first point of contact for queries from multiple stakeholders about the progress of programmes and projects undertaken across the service.
Responsibilities
* Administration, coordination and maintenance of standards on all projects and provision of general project support records.
* Plan and prioritise work effectively as an autonomous team member.
* Report to the PMO Delivery Assurance Manager and work closely with Programme Managers for supported projects.
* Be responsible and accountable for the project management information systems, including the integrity of the data and reporting.
* Be responsible for configuration, setting up and maintaining project files within a Project Portfolio.
* Complete work stream templates, including action lists and aims and objectives of the work stream.
* Follow‑up and facilitate all actions allocated to members within a programme.
* Arrange meetings and workshops for all work streams, including final presentations with the Executive Board.
* Track performance times and raise exceptions to the project team.
* Provide effective diary management, including coordination and arrangement of meetings, minutes, drafts for the relevant Chair, room bookings and refreshments.
* Maintain manual and electronic filing systems accurately.
* Draft and type correspondence, reports and presentation materials.
* Support the Digital & Data Team in overall planning, presentation, progression and monitoring of key projects.
Additional Duties
* Support implementation of projects, services and initiatives through timely and relevant information analysis and administrative support.
* Attend meetings and accurately record discussions in concise, clear minutes.
* Capture actions within meetings and update action logs.
* Organise and manage logistics of events and meetings, assisting diary management for portfolio of work.
* Provide high‑quality project, service, initiative and administrative support, including information and analysis and general reporting.
* Engage and work collaboratively with colleagues and senior stakeholders.
* Assist in producing and updating key documents including presentations, programme risk and issue logs, risk reports, progress reports, dependency logs and action logs.
* Attend programme and team meetings, supporting forward agenda planning, coordinating contributions to papers, preparing papers and presentations, taking high‑level minutes and tracking actions.
* Send information to internal and external stakeholders.
* Establish and maintain files, folders, SharePoint and websites.
* Manage enquiries on behalf of the team.
* Work in an integrated manner with local teams.
* Ensure all activities meet organisational standards using a range of electronic tools.
* Be flexible and support programme teams as required with ad‑hoc requests and additional duties.
* Assist with coordinating resources effectively, ensuring project documentation is prepared and shared according to project timetables and deadlines.
* Support change management by working with relevant programme teams and key stakeholders within the business.
* Maintain and update the project’s tracker database.
* Work closely with clinical and non‑clinical colleagues within the Department and other multidisciplinary teams and agencies.
* Provide training on business / project systems to clinicians, management and staff at all levels as required.

About this role: The role requires proactivity, strong communication and excellent written skills. Previous NHS experience and an understanding of how the organisation works is an advantage, and knowledge of projects is desirable.
