Job overview

To provide comprehensive administrative support to the E Roster team as directed by the E Roster Manager, including system maintenance, providing system advice and escalating issues raised, using the E Roster application, minute taking and follow up actions as required. Dealing with sensitive information and sensitive handling of enquiries when dealing with staff enquiries. To prioritise incoming business to meet service demands and to work on own initiative to support the E Roster team.


Main duties of the job

* To provide a full administrative support service including typing of letters, departmental reports and presentations to meet designated deadlines
* To set up and maintain service databases and spreadsheets as appropriate to support the E Roster team and function
* To arrange and support meetings as requested by the E Roster Team
* To order stock and stationery as required
* To liaise with the clinical staff and external organisations with regard to diary management and organising meetings
* To undertake general office duties including photocopying, filing and archiving
* To act on own initiative to contribute to the effective running of the E Roster service
* Review and update administrative procedures and systems
* To liaise with wider departmental administrative staff where necessary to ensure the work is coordinated in undertaking working practices


Working for our organisation

We operate from three main hospitals – Furness General Hospital (FGH) in Barrow, the Royal Lancaster Infirmary (RLI), and Westmorland General Hospital (WGH) in Kendal – and a number of community healthcare premises including Millom Hospital and GP Practice, Queen Victoria Hospital in Morecambe, and Ulverston Community Health Centre. FGH and the RLI have a range of General Hospital services with full Emergency Departments, Critical/Coronary Care units and various Consultant‑led services. WGH provides a range of General Hospital services together with an Urgent Treatment Centre for non‑life‑threatening conditions such as broken bones and minor illnesses. All three main hospitals provide a range of planned care including outpatients, diagnostics, therapies, day case and inpatient surgery. In addition, a range of local outreach services and diagnostics are provided from community facilities across Morecambe Bay. Our community services for adults are provided in people’s homes, community centres, clinics, GP Practices, community hospitals and our main hospitals. Our aim is to work with people to help them remain independent, improve their health and manage their conditions through high‑quality care, advice and support.


Person specification

* NVQ3 in administration or equivalent experience. GCSE in Maths and English or equivalent.
* Experience of working in an administrative post. Previous administration and/or secretarial experience.
* Computer literate with database and word processing packages.
* Evidence clear communication skills, with the ability to use tact and diplomacy at times.
* ECDL.
* Previous NHS Experience.
* Knowledge of NHS systems and processes.
