As Executive Assistant, you hold a key role within the Chief Estates and Facilities Office (CEFO) based in Trust Headquarters. You will enhance the effectiveness of the Chief Estates and Facilities Officer (CEFO) through the provision of professional and comprehensive support. You will represent the Chief Officer to internal and external stakeholders and manage their business in a confidential, effective and efficient manner.
You must be proficient in managing a varied and demanding workload; be highly adaptable, a fluent communicator and team player with excellent computer skills.
Main duties of the job
1. Diary management: Manage CEFO diary, prioritising as appropriate to ensure their time is efficiently utilised.
2. Understand the CEFO short, medium and long-term priorities and provide bespoke and flexible support as new priorities emerge.
3. Email management: Manage and prioritise the CEFO inbox, track progress on incoming and outgoing email traffic, and draft correspondence on behalf of CEFO.
4. Receive and action other written correspondence and enquiries into the CEFO office and prioritise for action, draft correspondenceaccordingly.
5. Support committees as appropriate including meeting agenda preparation, meeting paper collation and circulation, minutetaking.
6. Trust Board and Board Committees: Liaise with Corporate Governance Team regarding agenda items and liaison with CEFO, Deputy CEFO’s and wider teams to ensure required papers and presentations are signed off and submitted a timelymanner.
7. Understand the importance of delivery and meeting tightdeadlines.
8. Proactively follow up on actions given CEFOand liaise with deputies/direct reports/teams toresolve.
