Project Support Officer

Provides project, operational, technical and administrative support to the Project Office to ensure successful delivery of projects to the timescales identified within the project plans. Develops, maintains and files project documentation in accordance to the department's standards. Maintains a professional working relationship with system suppliers, project and implementation team members and end users, and is a point of contact for project enquiries from end users and key stakeholders. May provide training to key project team members required to ensure effective management of Project plans, project documentation and reports and risk and issue logs.
To have responsibility for specific key work projects/tasks, and will be required to act on their own initiative to see these through to a timely conclusion.
Main duties of the job
To co‑coordinate and/or support the effective taking of minutes and transcription for the Project meetings; and to prepare and distribute agenda and supporting documentation for such meetings.
To be competent in developing and maintaining good working relationships across the Trust.
To be able to work under pressure, use own initiative and work from minimal instruction to assist the Directorate's Board Members/Senior Management Team with their work loads.
To provide efficient customer service, welcoming visitors and dealing with enquiries in person, letter, email or telephone.
To be competent in producing printed documents.
Undertake effective electronic diary management including arranging meetings/conferences, time outs, booking venues, arranging hospitality and organising travel arrangements, e.g., booking trains/hotels.
To be conversant in inducting contractors and leading the implementation of control systems.
To oversee the retention and/or destruction of records, both paper‑based and electronic.
Low‑level project management duties such as liaising with contractors, carrying out inductions for contractors.
Tendering work packages in line with Capital Development Team systems of work.
Assist Project Managers in developing and delivering projects on time and to budget.
Assist with day‑to‑day project management duties and small‑scale projects within level of knowledge.
Assist and develop project reports in line with Senior Project Managers' instructions.
