Position
The Executive Assistant will be the key point of coordination for the CEO’s office, providing high-level executive and secretarial support across a wide range of responsibilities. This includes managing correspondence and reports on behalf of the CEO and President, ensuring they are fully briefed ahead of meetings and events, and maintaining seamless communication with the Board of Trustees. The role also involves supporting Board processes, facilitating inductions and development, and coordinating high-profile events such as the Annual General Meeting and the Presidential Address. As the trusted aide to both the CEO and President, you will be relied upon to act with initiative and judgement, occasionally making decisions and delegating on their behalf. The role also carries responsibility for coordinating leadership meetings, managing projects, and maintaining accurate and accessible records that capture both current business and the institution’s history.
Requirements
Knowledge and experience:
* Previous experience of working for a senior executive as an EA or PA.
* Experience of setting up and maintaining effective office systems and procedures that improve work performance.
* Experience of handling confidential and sensitive matters with tact, diplomacy and confidentiality.
* Experience of writing a range of high quality documents including formal minutes, writing reports, support materials, correspondence and proposals - to include writing on behalf of others.
* Experience of working under pressure and deploying a flexible approach to changing priorities.
* Experience of working in a charity and/or with volunteers desirable.
* Knowledge of charity commission and charity regulations.
* An understanding of IChemE’s volunteer structure and the strategic aims of the organisation.

* Ability to work and build relationships with a range of stakeholders at all levels.
* Excellent time management and organisational skills.
* Ability to manage own workload with proven ability to manage multiple priorities.
* Excellent communication skills – clear and concise written and verbal communication.

* Ability to delegate and escalate tasks and issues.
* Advanced user of Microsoft office products (word, excel PowerPoint) and Microsoft 365 suite (Teams, OneDrive, SharePoint).

Other information
The role will be based at our Rugby office. This is a permanent, full-time role based on 37.5 hours per week, Monday – Friday. Only candidates eligible to work in the UK will be considered. Salary will be in the range of £38,000-£40,000 per annum (depending on experience). The closing date for all applications is 9 September 2025.
