A Vacancy at Central and North West London NHS Foundation Trust. An opportunity has arisen for a forward‑thinking, enthusiastic, highly motivated and experienced PA to support the Head of Harrow Children's services and the Therapies Senior Management Team.
The post holder will provide comprehensive, confidential, high‑quality secretarial support to the Senior Management Team, including diary management, meeting preparation, minute taking, preparing agendas, reports and action trackers, and ensuring that actions are followed up.
The role involves liaison with a wide range of internal and external staff and organisations, often in senior roles, and working closely with the Head of Service to support discharge of responsibilities, project and audit work, incident reporting, risk, recruitment and liaison with service lines.
Responsibilities
* Provide high‑level PA support to the Senior Management Team, including diary management, meeting preparation and administrative support.
* Prepare agendas, minutes, documents, reports and presentations for senior management meetings.
* Track action items and follow up to ensure completion.
* Manage telephone calls, post and direct contacts with clients, staff and external agencies in a professional manner.
* Prepare documents (letters, memos, reports, etc.) by copy or audio typing using Microsoft Office software, ensuring adherence to all policies and procedures.
* Carry out general office duties such as scanning, photocopying and filing.
* Participate in the induction of new permanent or temporary staff and prepare induction packs and schedules.
* Take part in audit, quality and monitoring initiatives.
* Receive patient and staff queries and complaints on behalf of the service line, liaising, acting and following up or referring as required by departmental and trust guidelines.
* Act as a point of contact for staff reporting sickness, transport delays and inform the relevant leads.
Qualifications & Skills
* Good standard of education and previous administrative experience.
* Excellent interpersonal and communication skills.
* Strong IT skills and proficiency with Microsoft Office.
* Ability to multitask, work proactively and independently.
* Teamworking abilities.
* Previous NHS experience desirable.
