Offer description

The postholder will meet and greet the general public, clinical and clerical staff, and will ensure all reception processes are carried out in a timely and accurate manner.

The postholder will provide an efficient and professional reception service, ensuring quality service to all users. The postholder will also be required to undertake general clerical duties within the reception.

To have a flexible approach in providing admin support to the multi-disciplinary teams working with a client group with mental health problems. There will be client and carer telephone contact and face-to-face contact at some sites, therefore, good communication skills are essential.

To meet the needs of the Trust services, you may be required from time to time to work outside of your normal area of work. The Trust reserves the right to change your normal area of work to any other location within the Trust. There may be a requirement to provide cover for other North Manchester site reception areas.


Main duties of the job

1. Provide admin support to the clinical team.
2. Ensure sufficient stocks of stationery are available to meet the needs of the team without resorting to stockpiling.
3. Monitor your own performance against agreed objectives as identified in the appraisal process.
4. Ensure general tidiness of the reception environment.
5. Support colleagues appropriately with tasks to be carried out whilst covering reception duties.
6. Record messages accurately in the daily diary for all team members.

Detailed job description and main responsibilities

* 27 days annual leave plus bank holidays, rising to 29 after 5 years and 33 after 10 years
* RSA Level 2, NVQ Level 2, or equivalent experience. Educated to GCSE level in English and Math.
* Other relevant IT qualifications


Experience

* Experience working in a busy office environment.
* Experience working in an environment where confidentiality is maintained at all times.
* Experience working with members of the public, including patients/service users.
* Experience in a healthcare setting.


Knowledge

* Understanding of mental health issues and challenges.


Skills and abilities

* Effective time management skills.
* Ability to prioritize and plan conflicting and complex work demands.
* Excellent telephone manner.
* Outstanding communication skills.
* Advanced keyboard skills.
* Ability to navigate IT systems, including Excel, Word, and PowerPoint.
* A caring and sensitive attitude when communicating with staff and patients.
* Mature disposition.
* Numerate and able to provide accurate statistical data.

There is a frequent requirement to travel within the area to fulfill the role and occasional travel across the Trust to attend meetings and events.

The Trust mandates all postholders requiring a DBS to subscribe to the DBS Update Service, for a fee of £16 per year, and maintain registration throughout employment.
