Job Overview
To receive and greet staff/patients/relatives and carers attending the Macmillan Unit CRH/Chemotherapy Unit HRI in a caring and professional manner. To provide staff and users with efficient clerical and reception support on the front reception desk and within the chemotherapy suite. The role is multi-faceted and will require that any other clerical duties may need to be undertaken to support the service and its running.

The receptionist is the welcoming face of the unit, responsible for dealing with telephone enquires, liasing with the wider multi disciplinary teams, admission and discharge of patients, making of outpatient appointments as per the consultants requirements.
They will be required to work cross site to cover sickness/abcence.
Receive and log charitable donations, report repairs and faults.

We employ more than 6,500 staff who deliver compassionate care from our two main hospitals, Calderdale Royal Hospital and Huddersfield Royal Infirmary as well as in community sites, health centres and in patients homes. We also are incredibly proud to have almost 150 volunteers here at CHFT.
We provide a range of services including urgent and emergency care; medical; surgical; maternity; gynaecology; critical care; childrens and young peoples services; end of life care and outpatient and diagnostic imaging services.
We provide community health services, including sexual health services in Calderdale from Calderdale Royal and local health centres. These include Todmorden Health Centre and Broad Street Plaza.

Detailed Job Description And Main Responsibilities

2.1 Main Tasks
To always maintain a permanent presence on the reception desk other than when requested to assist with duties related to the chemotherapy suite.
Attending to the front Reception desk, answering the telephone in a professional manner in respect of any queries, and dealing sympathetically with patients and any worries they may have regarding their appointments.
At the start of the day to ensure all the rooms are open in the Macmillan CRH/Ward 7 reception and clinic areas. To ensure the coffee machine, bookcase, and greeting cards are well stocked for the day. To ensure the reception area is clean and tidy and the daily newspapers have been collected.
To be responsible for the admitting and discharging of patients attending the Chemotherapy suite as Day Case and Ward Attenders on the Electronic Patient Record system in a timely fashion.
To be responsible for preparing the documentation required in the Chemotherapy Suite by the nursing staff to record the treatments received by patients in accordance with the daily lists from Varian.
To assist with the collection of prescriptions from pharmacy, blood products from Pharmacy and chemotherapy from Aseptics as requested by nursing staff in the absence of volunteers and HCAs.
To assist with chemotherapy patients refreshments on request in the absence of volunteers and HCAs.
To ensure the chemotherapy nurses station documentation supply is fully stocked and restock as required.
Prepare documentation in readiness for patient attendance to assist clinic staff with the smooth running of Outpatient clinic lists ie, - patient labels,wristbands, clinic lists etc.
To book the arrival of patients for their Outpatients appointments within the Units and updating their demographics as required. Undertake the booking of further appointments, changing of appointments, entering new referrals, and issuing appointment letters as required by the consultants and specialist nurses.
To arrange, book and/or cancel transport for patients through the YAS/PTS booking systems ensuring patients are collected and returned to their destinations with a minimum of waiting time. To liaise with the porters to transport patients to different areas within the hospitals.
To arrange Headstrong appointments on request from specialist nurses via referral or verbally.
Scan referral forms to Orthotics in Huddersfield regarding prosthetics requests and/or wig referrals.
Support Outpatient clinics, the Counsellor and all other staff within the Macmillan Unit / Greenlea ward 7 HRI ward 7 HRI, with clerical and administrational tasks as required.
To liaise with the Team Leader regarding restocking stationery, equipment, and coffee machine supplies.
Report repairs/faults of equipment to the relevant departments.
Receive and log charitable donations to the Macmillan Unit/Greenlea Unit and bank the monies received with the General Office. Receive donations from patients for coffee/cards/books/artwork in the Macmillan Unit and record in the appropriate manner.
To work cross site to cover reception annual leave/sickness/absences as required.
To accept deliveries and deliver post to all departments within the Unit.
At the end of the day to ensure: - Electrical appliances are switched off such as computers and printers. The coffee machine is locked away at the Macmillan Unit. Windows are closed, lights switched off and that the rooms in reception (including the Information Centre) and down the chemotherapy corridor are locked.

3.5 Managing Self Participate in regular supervision. Attend all mandatory training. Participate annually identifying, developing, and agreeing your own development plan with your Line Manager using the Trust Appraisal. Comply with all Trust policies, procedures, and protocols. Carry out duties with due regard to the Trusts Equal Opportunity Policy. Seek advice and support from Line Manager whenever necessary. Maintain professional conduct always including appearance. Ensure maintenance of Professional Registration.
