Role Overview
proAV is a leading global audio visual integrator, providing AV and event services across multiple client partnerships worldwide. Our immediate requirement is for an experienced Personal Assistant to be a key part of our Egham team, representing proAV and looking after the needs of two Directors within the business. This exciting opportunity will allow an exceptional, experienced Personal Assistant to join an established operation with scope to drive and enhance the service at every opportunity. Experience and seniority of the position will be reflected in the remuneration and benefits package.
Key Responsibilities
* Provide full administrative support to the Managing Director and senior management team.
* Manage emails and relevant filing.
* Organise meetings, including preparing agendas, taking minutes, and following up on action items.
* Book travel, accommodation, restaurants, and other reservations.
* Handle confidential information with integrity and discretion.
* Assist with event planning, logistics, and coordination.
* Liaise with the senior management team and colleagues to review, sign, and issue contractual documents.
* Manage and coordinate employee engagement activities.
* Generate and update reports using Microsoft Dynamics.
* Create and format PowerPoint presentations and Excel spreadsheets.
* Liaise with colleagues, clients, and suppliers.
* Perform general administrative support and ad‑hoc duties as needed.
* Manage and submit expenses.
* Understand company policy and processes and adhere to them in both client and internal environments.
* Ensure that all requirements are dealt with or escalated in a timely fashion to meet established goals and objectives.
* Assist with client support and management.
* Handle any personal tasks as assigned by the directors.
* Maintain accurate and up‑to‑date customer records in the CRM system.
* Liaise with warehouse teams, finance, and project teams.
* Prepare handovers for internal departments.
Requirements
* Proven experience in an office administrative, sales administrative, or Personal Assistant role.
* Excellent verbal and written communication skills.
* Excellent organisational skills, attention to detail, and the ability to manage multiple tasks and priorities.
* Proficiency in Microsoft Office (Excel, Word, PowerPoint) and CRM systems.
* Self‑motivated, able to work proactively and independently.
* Confident in building positive working relationships across the company.
* Problem‑solving and logical thinking.
* Strong team player with a flexible, proactive, and professional attitude.
* Ability to communicate effectively with people at all levels.
Hours of Work
40 hours per week, 9 hours a day, 8.30 am‑5.30 pm, including an hour unpaid break, Monday – Friday.
