Overview
We are seeking an organised, self‑motivated and approachable individual who enjoys working in a challenging and busy environment to join our friendly team in Respiratory as admin and clerical staff for a busy Outpatient department.
Responsibilities
* Act as the first point of contact for patients and visitors to the department.
* Provide comprehensive reception support, including taking messages and using the department technology.
* Deal with patient enquiries in a sympathetic and confidential manner, signposting people appropriately and maintaining a high standard of customer care at all times.
* Update Trust patient information systems to ensure accurate patient information and demographics are recorded.
* Accurately book, amend and check in and out of all patient appointments.
* Book follow‑up appointments ensuring correct RTT (Referral to Treatment) status is recorded.
* Maintain an effective, robust administration function underpinning the delivery of a high‑quality service and fostering working relationships with clinical, nursing and administrative staff.
* Answer all communication including telephone, email and face‑to‑face queries in a timely manner and act as appropriate.
* Check patients in and out of clinics and ensure future appointments are made on the day of attendance.
* Attend departmental meetings and training as required to keep up-to-date with service and Trust procedures.
* Cover other job roles at an appropriate grade or site, including varying working hours, to ensure the service maintains a minimum level of cover during its core hours.
* Act in a manner aligned to Trust Values and consistently demonstrate behaviours that will help deliver compassionate excellence.
Qualifications & Skills
* Good interpersonal skills in oral and written communication, able to communicate in a professional manner across a range of services and professionals.
* Flexible approach to work, able to work as part of a wider administrative team.
* Ability to work independently and use own initiative.
* Confidence using a computer and familiarity with data entry and demographic recording.
