The Role
Creating memorable events and experiences for our customers across our unique set of vessels and venues by ensuring the highest standards of event delivery and customer focus whilst representing the image and values of Woods Silver Fleet.
Managing all aspects of event planning, from handover from the sales team to handover to the operations team.
You will be the point of contact for clients, vendors and internal teams ensuring every detail is handled with care, creativity and professionalism.
The Location
An Iconic set of Venues on the River Thames
This role is location based with the opportunity of occasional remote working depending on business demands.

The Expectations
Maintain excellent customer service and operating standards at all times by devising comprehensive event plans to inform the team about each event so that they may deliver accordingly.
Develop full knowledge of Woods Quay, the vessels, their capacities and capabilities, F&B offering, entertainment options and how they operate within the event space.
Gain full proficiency in the CRM to manage event details, including creating charter/ catering orders, invoices and other event-related documents.
Assist the team with generating the weekly events orders, general office duties and other ad-hoc event related tasks.
Understanding of the specific H&S requirements and procedures of our vessels/ venue and ensuring these are adhered to for all events.
Supplier management:
Booking of all required event elements such as piers, decorations, audio-visual production, entertainment.
Sourcing new suppliers to ensure that we are constantly at the forefront of the industry as well as developing and maintaining supplier relationships.
Attend events on a regular basis to ensure you are/ stay familiar with the end product.
Client Relationship
Be thoughtful and thorough in building and maintaining relationships with clients, suppliers and the internal team.
Understand and anticipate varying customer needs and strive to exceed expectations.
Conduct client food tastings to ensure that clients feel at ease with the product and to maximize upselling opportunities.
If onboard for one of your events you may be the main point of contact for the client.
Have innate understanding of the luxury events market and be able to deal with a variety of clients from different backgrounds and industries and tailor event requirements accordingly.
Cost Control and Sales
Ensure events revenues are maximised via creative and thoughtful upselling of food, beverage and event add-ons.
Prepare pre and post event invoices, ensuring prompt payment to assist the company with financial and cashflow targets.
Ensure quotes are correct, demonstrating an understanding of profitable items/ supplier products and the pricing structure of all event components.
Work alongside the sales managers during the planning process to ensure repeat business is maximized and ensure feedback follows a full circle in order to make re-contracting bookings as seamless as possible.
