About the Role
We are seeking a dynamic and enthusiastic Compliance / Operations Administrator to provide essential contract administration support to our operations team. You’ll play a key role in ensuring smooth day-to-day operations, working closely with the Senior Operations Manager and Senior Service Adviser. This is a varied position with real opportunities for career progression.
Key Responsibilities
Answer incoming customer calls and log details on our 360 Compliance platform
Fleet administration: book servicing, MOTs, manage breakdowns, report private mileage for payroll
HR administration: assist with onboarding, update HR portal with training certificates
Training administration: book training, prepare agreements, update training matrix, compile certificates
Operational admin: arrange hotel bookings, train tickets, and lab collections
Support with monthly customer reports
Ensure Service Technician jobs are completed on time and reports are accurate
Manage consumables for Service Technicians
Issue purchase orders, assist with invoicing
Liaise daily with Service Technicians and keep customers informed of job progress
Upload job reports and invoices to customer portals
Coordinate submission of Legionella Risk Assessments
Monitor project costs and timelines
Liaise with customers, contractors, and suppliers to plan work schedules
Maintain accurate documentation for job costing and invoicing
Essential Skills & Experience
Minimum 2 years office experience
Experience in a helpdesk or customer service role
Previous work experience in the Water industry
Confident communicating with customers, technicians, and internal teams
Excellent attention to detail
Ability to work independently and as part of a team
Strong organisational and communication skills
Calm under pressure with the ability to prioritise tasks
Proficient in Microsoft Outlook, Word, Excel, and cloud-based software
