Medical Secretary, Trauma & Orthopaedics (Band 3)
Medical Secretary - Full-time - 37.5 hours per week - Permanent
Assist clinical staff within the Trauma & Orthopaedics department at the Queen Elizabeth Hospital, providing high‑quality secretarial and administrative support.
Responsibilities
* Maintain and promote the professional image of the Trauma & Orthopaedic Services and Gateshead Health NHS Foundation Trust.
* Develop close working relationships with secretarial colleagues and other staff, ensuring effective communication links with healthcare agencies and departments.
* Type, forward and manage all correspondence for healthcare professionals, ensuring accuracy and confidentiality.
* Handle sensitive information through audio/digital dictation and patient records with strict confidentiality and in line with the Trust Information Management and Technology (IM&T) Information Security Policy.
* Participate in ongoing training, commenting on policies and procedures as required.
* Report incidents, accidents and defects according to Trust and Business Unit guidelines.
* Use software programmes such as Winscribe, CareFlow, Medirota and other required systems for clinical documentation and VTC clinics.
* Take minutes, manage filing of hard and electronic copies in accordance with lean principles, and participate in contact appraisal.
* Collect and distribute medical records; answer enquiries and refer requests for test‑results to the relevant personnel.
* Deal with complaints effectively and refer written complaints to appropriate staff following Trust policies.
Qualifications
* Educated to a good standard (GCSE or equivalent, including Maths and English) or NVQ Level 2 in Business Administration.
* RSA II or equivalent typing qualification.
Experience
* Previous secretarial or administrative role within an NHS or healthcare environment.
* Minimum of 2 years recent experience in a secretarial or office setting.
* Experience using Microsoft Office packages.
Knowledge / Skills
* Clear and effective written and verbal communication.
* Good organisational and planning ability, working autonomously and as part of a team.
* Flexible approach to support evolving service needs.
* Knowledge of Careflow system and familiarity with medical terminology.
