We are looking for an experienced, well-spoken, intelligent, and calm Private Personal Assistant to support a UHNW, highly discreet family. Based mainly at their private residence, travel will be required to other properties in central London. You will be responsible for ensuring that their personal lives run like clockwork whilst supporting the House Manager and a team of household staff. You will be the lynchpin for the Principals keeping them informed and in touch with other employees, associates and clients, many of whom are dignitaries, VIPs, UHNWs and celebrities. Supporting the family in a private Personal Assistant capacity so experience of handling highly confidential information with complete discretion is necessary for this high-profile family. You must understand the need for confidentiality and control at all times, have excellent communication skills, be an expert at dealing with constantly changing itineraries, and be Confident at juggling multiple priorities. No two days will be the same, and this private Personal Assistant must deal with last-minute changes, remaining unflustered and positive at all times and able to offer out-of-business hours of support. You will not be tied to your desk all day as you will be involved with projects that take you out of the office.
Responsibilities
* Managing extensive private and business luxury travel.
* Diary management.
* Paying personal bills.
* Booking of restaurants.
* Organising private social events and ad-hoc project-based work.
* Travel; itineraries, visa and accommodations, booking and dealing with private jet charter.
* Liaise with the family Governess concerning the children's tutor scheduling, extra-curricular activities, nutrition and well-being.
* Personal appointments, daily lifestyle oversight.
* Sourcing for nutritionists, therapists, stylists, well-being influencers.
* Liaising with a personal stylist, wardrobe managers, designers.
* Organising events and receptions.
* Management of the family's calendars, scheduling meetings and arranging travel itineraries.
* Handling correspondence and managing communication with staff as directed by House Manager and the Estate Director.
* Assisting the household manager to ensure the smooth operation of the household, drafting documentation, filing documents, and creating files.
* Assisting the household manager with budgets and expenses.
* All admin duties - the first point of contact, liaising with guest lists, events and VVIP guest's appointments.
* Assisting House Manager as required when overseeing property maintenance and dealing with contractors.
* Plan and coordinate events and social functions.
* Personal administration, as well as charitable/trust administrative support.
* Research on projects + family holidays.
* Running/arranging personal errands.
* Online shopping and procurement.
* Proactively managing the family calendar.
* Ad-hoc household administration.
Qualifications
* Five years+ of relevant private PA experience, including supporting a high-profile family with various children and willingness to work from the house.
* Gentle sense of humour, ability to look ahead, and high emotional intelligence; ability to read the room.
* Full Driving Licence.
