Overview
To provide a comprehensive administration function/secretarial role to the Deputy Chief Nurse and other Senior Managers within the team. The post holder will support the Nursing, Safety and Quality teams in line with Departmental, Trust and National standards, policies and procedures. The role requires initiative, the ability to work unsupervised, plan and manage a range of complex duties, organise work to meet deadlines and respond professionally to enquiries.
Responsibilities
* Oversee the workload of direct reports (Administrative staff Band 3) within the Safety and Quality team and build positive working relationships, ensuring capability and capacity. Complete appraisals and regular supervision, ensuring any leave is recorded.
* Provide efficient administrative support to the Nursing, Safety and Quality teams in accordance with Departmental, Trust and National standards, policies and procedures.
* Raise purchase orders on the Integra system and keep a record of all spending.
* Provide a comprehensive, efficient and professional PA support service; support the Deputy Chief Nurse and wider Senior Management Team, working collaboratively with other members of the wider Nursing, Safety and Quality team.
* Line manage the Band 3 administrators, offering support to prioritise their workloads. Complete regular supervision and appraisals, and record any leave taken.
* Manage the Deputy Chief Nurse’s diary and meetings, requiring a high level of organisation and coordination.
* Monitor work requests delivered to a joint admin inbox and ensure tasks are completed in an accurate and timely manner.
* Prepare agendas and collate relevant attachments, attend meetings and take accurate minutes and action trackers for meetings in a timely manner.
* Assess, prioritise and organise own workload to ensure deadlines are observed and duties performed efficiently.
* Responsible for the effective and efficient delivery of a comprehensive administrative support service.
* Provide a comprehensive administrative service to the Nursing, Safety and Quality Team including word processing, drafting and producing reports/letters/business documents, ensuring any follow-up action is taken.
* This role works alongside the senior leaders in the Organisation, supporting their meetings by organising and taking minutes, keeping up to date action plans and managing attendance.
