JOB TITLE: CPD Admin Support REPORTING TO: CPD and Training Lead Summary of the role The CPD Administrator will play a key role in supporting the effective delivery of the Societys Continuing Professional Development (CPD) and training programme. The post holder will provide high-quality administrative support to the CPD department, contributing to the development, implementation, and ongoing maintenance of CPD activities and systems. The role involves responsibility for a wide range of administrative tasks across the CPD and training lifecycle and requires flexibility, including occasional duties outside core business hours (9am5pm) and travel to support events outside Belfast from time to time. Key Responsibilities General Administration Provide comprehensive administrative support to the CPD department. Perform administration duties for the CPD team as required. Deal with incoming calls, emails, post, and other routine enquiries to the CPD team. Handle ad-hoc requests from senior management and support other team members to meet departmental objectives. Course Administration Process course bookings, confirmations, and payments. Register participants for CPD events and manage waiting lists where applicable. Upload and maintain CPD events on the Societys website. Support CPD Co-ordinators in liaising with course presenters/speakers and support logistical arrangements. Coordinate the set-up of rooms and venues, including IT/AV and troubleshooting where required. Prepare course materials, delegate packs, and manage event resources. Event Coordination Provide administrative support in the organisation of all in-person and online CPD events. Book venues, arrange catering, and manage onsite logistics. Provide onsite support, including registration, participant liaison, and tech set-up. Conduct post-event follow-up activities and evaluations. Data & Record Management Maintain accurate records of CPD activities, bookings, attendance, and feedback. Manage databases related to course participants, non-compliers, and compliance tracking. Assist with the annual distribution and follow-up of CPD Record Cards. Produce timely reports and dashboards to support strategic planning and decision-making. Contribute to improvements in data systems and standard communications. Digital and Learning Support Assist in converting existing training materials to digital formats and maintaining an online resource library. Support the use of online platforms including Zoom Webinar, Eventbrite, Formsite, and Jotform. Person specification Essential Minimum GCSE level qualifications in English and Mathematics (or equivalent). Minimum of three years experience in an administrative role, preferably in a CPD, training, or educational setting. Working knowledge in the use of Microsoft Office (Word, Excel, PowerPoint, Outlook). Experience in using data/content management systems and maintaining databases. Strong organisational and time management skills with the ability to manage multiple tasks. Excellent written and verbal communication skills. High attention to detail and accuracy in data handling. Strong interpersonal skills with the ability to engage positively with colleagues, members, and external contacts. Ability to work independently and as part of a team. Desirable Knowledge and understanding of Continuing Professional Development principles. Experience with platforms such as Zoom, Eventbrite, Canva, Formsite, and Jotform. Commitment to personal and professional development. Willingness to work outside core hours and travel as required. Terms of appointment This is a full time, permanent position. The position will be based at Law Society House, Victoria Street, Belfast. Some provision for homeworking is possible. Key benefits Salary scale for the post is £22,394 to £27,905, dependent on experience. The other principal ancillary benefits are: A total of 25 days leave entitlement per annum, in addition to 13 days of public and bank holidays. A contributory pension scheme, to which the employer contributes at a rate of 10% of the salary. Death in Service at 4 times gross salary.
