We have an exciting opportunity within our company for a Works Team Assistant, to join our dynamic and fast paced team on a 12-month contract. This is a key role communicating, co-ordinating and providing support between our teams, tradesmen and our clients. This role will require the individual to be willing to spend 3-5 days within the office, with a potential 2 days of the week site based when required. Experience in surveying projects would be an advantage.

As a Works Teams Assistant, you will be responsible for a range of duties for our clients associated with our planned works and maintenance projects. The focus will be coordinating with our internal helpdesk, including taking enquires & requests from our clients, logging and raising jobs, communicating with managers & tradesmen for quotes and call outs, communication with clients to keep them up to date with progress, and managing the works schedule. The Works Team Assistant will also be responsible for scheduling in our drivers, contacting suppliers and contractors, visiting sites to clarify questions and queries for the Works Team & Clients, and will be required to perform other administrative duties within the team.

We are welcoming applications from people who have worked in similar roles / industries, including maintenance, builders’ merchants, fitting industries and other service providers.

Key responsibilities:

·Generating & Estimating quotes and creating project entries.

·Sourcing / Obtaining quotes from subcontractors.

·Scheduling projects & closing projects upon completion.

·Attending sites to obtain further information and measurements.

·Procuring necessary materials (working with the procurement team).

·Administrative duties including sending out fitter’s job sheets and approving these when received, uploading all trade account invoices, reviewing and approving purchase orders, raising invoices for completed projects.

·Maintaining efficient communication with clients (scheduling & answering queries).

Qualifications, Skills, Experience & Licences required:

·UK Driving Licence essential (access to company vehicle).

·Basic Estimating / Surveying experience desirable (required when visiting sites).

·Construction Industry experience would be desirable.

·Microsoft Office (Word, Excel) experience required.

·Planning and Organisational experience.

·Excellent Communication experience both in person and telephone.

·Ability to work independently and within a team.

·Ability to use own initiative & to work to deadlines.

Full Time position: 40 hours per week, Monday to Friday (3 days office, 2 days site based when required)
