Job Summary

This role will require a motivated, adaptable, and well-organised person to work in our group of GP Practices based in Newham, London. We pride ourselves on delivering accessible, high-quality healthcare. The person appointed will provide Finance Assistance to our Senior Management Team. Working in a busy practice environment can be very pressured for which you will need excellent communication, interpersonal, and time management skills. You will need to be motivated and assertive, enjoy multi-tasking, and be able to work to frequent, tight deadlines. Experience in IT problem-solving is essential. Your ideal background will be in Business Finance which requires confident, autonomous working, forward-planning, and a proactive attitude. The Assistant will work closely with the Partners, Senior Managers & Medical Directors to shape and deliver the Finance Support to the Finance Team within our GP Practices.


Main duties of the job

The Finance Assistant will support the Senior Leadership and Finance Teams in maintaining accurate financial systems across multiple GP practices. Key duties include processing and reconciling invoices, credit notes, remittances, cheques, petty cash, and card receipts. The postholder will manage financial data entry on systems such as QuickBooks, Xero, and NHS portals (PCSE, CQRS, Open Exeter), ensuring accuracy, compliance, and timely reporting. Responsibilities also include managing income claims (QOF, ARRS, SNS), tracking payments, analysing banking and expenditure data, and assisting with payroll and pension submissions. The role supports budget reviews, financial reporting, and audit preparation while ensuring all documentation is accurately filed and retained. The Finance Assistant will liaise with suppliers, staff, and external bodies, follow up on outstanding payments or discrepancies, and support financial meetings through minute-taking and reporting. Additional duties include maintaining workforce data, supporting system updates, and contributing to continuous improvement, training, and development within the finance function.

Job Responsibilities

* Supporting The Senior Leadership Team: To maintain the practice financial information systems and to upload accurate data on to relevant NHS and other accounting portals in order to ensure the financial viability of each of the group practices.
* Invoice Processing and Data Entry: Entering and Scanning F4HG Invoices; collect invoices from relevant sites; verify duplicates; input essential details; ensure accurate bank details; write reference numbers on invoices; scan and update the system; ensure invoices for medical equipment, stationary, and vaccines are signed and dated; organise paid invoices; raise invoices for practice target based claims such as SNS; update systems related to QOF & CQRS.
* Credit Notes: Credit note processing, verification, updating records, documentation, supplier communication, reconciling payments, reporting, internal communication, compliance, and retention.
* Petty Cash and Card Receipts: Process and file petty cash and card receipts, ensuring correct linking to spreadsheets.
* PCSE and Other Financial Statements: Download and input GP pensions and payments data, analyse and align data across spreadsheets, track variances, update pension summaries, verify payments, raise missing contributions, and manage NHS Pension submissions via PCSE portal.
* Remittances and Cheques: Enter remittance details, file remittances, verify payments; process cheques and track until cashed.
* Banking and Financial Analysis: Categorise transactions, support data accuracy, and participate in budget analysis and reviews.
* Systems and Tools Management: Manage QuickBooks, Xero, Sage, GP Kashflow Payroll and other tools; upload receipts and documents; chase outstanding income; align with chart of accounts.
* Staff Data Management: Manage workforce data uploads, NWRS reporting, and Open Exeter account management.
* Payments and Invoice Follow-ups: Monitor invoices and follow up with timely payments; handle overdue statements.
* Payroll & Staff Leave Management: Track staff hours and payroll queries, including pension opt-in/out and discrepancies.
* Other Administrative Duties: Document handling and labeling; provide support and training; attend training to stay up to date with systems.
* ARRS & Other PCN Income Claims: Manage ARRS staff details, eligibility, reimbursement claims, and coordination with the PCN Manager.
* Training and Other: Attend training, seek clarification when unsure, and develop understanding of clinical and finance systems to support income generation.
* Meetings: Attend and support finance meetings; record minutes and actions; share minutes; chair/minute meetings as required.
* Professional Development: Pursue continual development, adhere to policies, obtain supervision, and participate in appraisal feedback.


Qualifications and Skills

* Essential: Excellent communication and interpersonal skills; strong IT skills including Google Docs/Sheets and Microsoft 365; effective time management; ability to work autonomously and as part of a team; problem solving and analytical skills; adherence to policies and procedures.
* Essential: GCSEs including Mathematics and English (C or above); Finance degree/qualification.
* Essential: IT data/technical experience; data entry experience; experience handling sensitive data.
* Desirable: Experience working with the general public; experience in healthcare; experience in a Finance Department.
* Proficiency with NHS portals and finance software (EMIS, CQRS, PCSE, QuickBooks, Sage, Xero, etc.).
