What you'll do

8. To provide a comprehensive and efficient administrative service to the Assistant Food and Beverage Manager and Food and Beverage Outlet Managers

To manage the office environment providing an exceptional guest and colleague experience, by maintaining office essentials, coordinating administrative duties and anticipating customer needs in a professional manner ensuring a seamless service experience
F&B coordination
10. Responsible for typing and sending all F&B department’s related correspondence, menus etc including those relating to some restaurant enquiries and confirmations
11. Compose letters on behalf of the Assistant F&B Manager and F&B Outlet Managers in line with Coworth Park standards
12. Type special menus for groups, promotions etc. and other menus as required
13. Operate and manage the computer system according to office procedures, filing documents in a logical and easily accessible system
14. Maintain an up to date filing system and accurate trace system
15. Manage office supplies and hotel collateral, ensuring enough stationery is available and stocked
16. Sort, date stamp, distribute and collate post for the Assistant Food & Beverage and frank all outgoing mail
17. Answer the telephone within three rings in a friendly, courteous and efficient manner, providing accurate information to the caller
18. Meet and greet visitors, create a warm welcome, conduct show rounds and deal with all enquiries professionally
19. Coordinate the diary for the Assistant F&B Manager and keep up-to-date contact lists
20. Check departmental log books every morning and pass on for action and follow up
21. Assist in research for promotions, projects and competitor’s analysis etc.
22. Attend meetings and take minutes as required including ‘Your Voice’ and CSR.
23. Ensure office, kitchen and reception areas are kept tidy and clean at all times
24. Receive and coordinate pick up of deliveries
25. Coordinate meeting room diary and ensure meeting room is set up accordingly
Restaurant Reservations
26. Take reservations and accurately record any special requirements, payment and contact details
27. Confirm reservations both verbally and in writing ensuring special requirements are referred to
28. Respond to all external and internal F&B enquiries (via email or website) within 24 hours
29. Ensure timely and efficient internal communication on all details to a reservation e.g. menu and wine choice, final number of guests, menu/place card requirements etc. to relevant departments
Health & Safety
30. Comply with all statutory and company health and safety, fire, bomb and security regulations
31. Ensure job required certificates are kept up to date
Flexibility
32. Along with your main duties you may be asked to complete other tasks and duties as and when necessary and reasonably required
33. You may on occasion be required to adjust your hours of work to cover the business needs
What you'll bring
34. Hospitality background
35. Previous experience within an operational role
36. Strong administration skills with office management experience
37. Proficient in MS Office
38. Previous experience in Opera and Delphi
39. Knowledge of food & beverage
40. Excellent written and spoken English
41. Good organisational skills
