Job Description
The ideal candidate will provide top-level assistance for high level executives. The primary function is to provide comprehensive administrative support to ED’s Office and function as Executive Assistant to ED & DyCEO.
Responsibilities
* Manage Calendar and appointments of ED & DyCEO
* Assist in Administration of the ED & DyCEO’s Office in coordination with GBA department
* Prepare and edit correspondence, communications, presentations and other documents •
* File and retrieve documents
* Assemble and analyse data to prepare reports, data reconciliation, power point presentations etc
* Arrange and coordinate meetings and events
* Monitor, respond to and distribute incoming communications
* Answer and manage incoming calls
* Receive and interact with incoming visitors
* Interact with external clients
* Co-ordinate project-based work
* Minute taking of various meetings
* Any other assignment as decided by the ED & DyCEO
Qualifications
* Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.
* Knowledge of standard office administrative practices and procedures.
* Organizational and planning skills.
* Communication skills – good oral and written communication skills
* Information gathering and information monitoring skills
* Excellent interpersonal skills.
