Job Description

At AECOM, we're delivering a better world — and we know that world is built by exceptional people. Our Buildings and Places team brings together designers, engineers, planners, project managers and advisors who are passionate about shaping cities and communities that truly matter.

We're now seeking an experienced Executive Assistant to provide seamless, high-level administrative and business support to the Managing Director and Chief Operating Officer of our Buildings and Places Division.

This is a trusted role at the heart of a dynamic leadership team, working closely with smart, creative and driven people who take pride in what they do.

About the role

This is a varied and fast-paced role where no two days are the same. You'll be a calm, organised and proactive presence, anticipating needs, managing priorities and enabling senior leaders to focus on what matters most. You'll thrive on responsibility, enjoy juggling multiple priorities, and bring a positive, flexible mindset to everything you do.

In this role, you will:

* Provide day-to-day executive support to the Managing Director and senior members of the leadership team
* Manage complex business and personal calendars, meetings and logistics, with the authority to make decisions on behalf of the executives
* Act as a key point of contact, managing inboxes and incoming communications with professionalism and discretion
* Coordinate domestic and international travel, including itineraries and expense reporting
* Organise client, project and internal/external meetings, including room bookings and catering
* Prepare agendas, take minutes and produce high-quality documentation
* Create and update presentations, spreadsheets and other business materials
* Support global, department-wide communications and activities across a distributed team

About You

You'll bring proven experience as a PA or Executive Assistant, along with exceptional organisational and time-management skills. You're confident working with senior leaders, comfortable operating in a global environment, and known for your ability to anticipate issues before they arise.

You will also demonstrate:

* Experience supporting senior executives and engaging with key internal and external stakeholders
* The ability to achieve outcomes through influence and diplomacy in a large, matrixed organisation
* Strong written and verbal communication skills
* High proficiency in Microsoft Office (Outlook, Teams, Excel, PowerPoint, Word and SharePoint)
* Experience handling highly confidential and sensitive information with discretion
* A track record of strong performance in a similar executive support role


Qualifications

* Extensive experience and a history of strong performance in a similar role in managing and communication to COO/CEO level professionals
* Able to provide daily briefings, agendas and background material to Executive Leadership, ensuring that they are prepped as required
* Able to organise executive meetings, including venues sourcing, travel and accommodation arrangements
