Based at: Royal Armouries Museum, Leeds. Option of hybrid working after initial induction with regular onsite working as required by business requirements.
Position Reports to: Procurement Officer
Hours: 20 (Monday to Friday). There is some flexibility over which days the hours are split. Some flexibility on working pattern and/or availability to work overtime would be ideal.
Salary: Between £12,512.78 & £13,541.11 (FTE £22,523 & £24,212) per annum depending on experience
Purpose:
To provide comprehensive, professional and high-quality administrative support directly to the Procurement Officer and indirectly to managers across the wider organisation on procurement activity, ensuring policies and procedures are adhered to and suitable records and audit trail are maintained.
Key Tasks:
· Assist in preparation of tender documents
· Support the tender process such as drafting of tender documents, producing scoring templates, compiling scoring outcomes, minute moderation meetings and draft tender feedback to suppliers
· Prepare procurement notices
· Manage the procurement mailbox
· Draft procurement reports for board reporting and reporting against the government’s transparency agenda
· Maintain register of licenses and ensure the relevant manager renews licenses on a timely basis
* Maintain and update Procurement registers (e.g. Register of Contracts, Register of Multiple Quotes, Register of Direct Awards, COI forms etc.)
* Maintain Procurement records and files (both electronic and physical)
* Assist with due diligence processes and support communications with suppliers
* Assist with internal and external audits of procurement processes
* To undertake other procurement duties as directed
