Responsible for: Providing administrative support to the Wokingham and Reading offices.

The Role
* This is a 2 x fulltime job share role to be based between both the Wokingham and Reading offices
* Full-time – 37.5 hours per week
Main Functions and Responsibilities
* Provide the Wokingham office with reception cover as and when required.
* Greet all clients attending the Wokingham office in a professional and welcoming manner.
* Open the post and date stamp as per instructions for both Wokingham and Reading.
* Scan all incoming post (via the post office or hand delivered) to the correct department/person following instructions given.
* Monitor the reception mailbox and deal with enquiries as appropriate.
* Deal with client requests and enquiries as required.
* Maintain a ‘Reception Process Manual’ which documents all tasks undertaken.
* Maintain the meeting room booking system and ensure that all meeting rooms are presentable and ready for occupation.
* Ensure that adequate stocks of stationery are maintained. Order stationery for both Wokingham and Reading offices when required using the supplier’s website.
* Undertake photocopying and scanning as required in both Wokingham and Reading office
* Accept deliveries and distribute as necessary.
* Ensure that adequate stocks of beverages are maintained, in both Wokingham and Reading office.
* Prepare the post at the end of each day for collection by the post office in Wokingham
* When in the Reading office ensure the post is taken to the post office.
* Take new Wills, LPAs, GOPs and Deeds and record on the system, store in the relevant place.
* Respond to requests for documentation copies or originals and update the system to ensure records are maintained.
* Provide back-office support for both the Wokingham and Reading office.
* Assist with the maintenance of stored data.
* Always maintain client confidentiality.
* Undertake other or new administrative and/or reception tasks that may from time to time be reasonably required.
Requirements and Skills
* Previous experience in a client/customer services role is essential.
* Excellent communication skills along with active listening.
* Good PC and keyboard skills.
* Client focus and adaptability.
* Excellent attention to detail.
* Highly organised and ability to multitask and reprioritise as required.
* Ability to work independently and as part of a team.
* Able to work in both Wokingham and Reading on a flexible basis.
