As a Commercial Assistant you'll work within our ambitious and driven Commercial team. You will provide admin support and assist with the creation and management of customer quotes, tender submissions and bid documentation. You will be a proactive member of the team who ensures that every task is completed efficiently and accurately.

You'll be working part time on a hybrid basis. There will be occasional in person collaboration sessions, therefore we are looking for someone in the Kent or Gwent area. We are open to applicants looking for around 18 – 21.5 hours per week, the FTE for this role is £25,000 per annum.

What You'll Be Doing


* Supporting the Commercial team by creating, reviewing and dispatching customer quotes
* Completing company information on tender portals such as Health Force Family, Pro Contract, and Intend
* Highlighting key tender clarifications and actions to the Chief Commercial Officer and ensuring they are addressed in a timely manner
* Coordinating the signature process for key documents, liaising with directors to ensure timely execution
* Maintaining and updating records in Microsoft Dynamics
* Organise and maintain a bid library with key documents, templates, and high-scoring responses
* Scheduling and coordinating meetings with clients and internal teams, ensuring smooth communication
* Assisting in formatting and organising commercial documents using Microsoft Office Suite (Teams, Outlook, Word, Excel, and Loop).
* Collaborating with the Finance Team and Heads of Service to gather and track bid responses
* Ensuring ITTs (Invitation to Tender) and Pre-Qualification Questionnaires (PQQs) are completed meeting all the requirements and submitted on time
* Monitoring tender portals daily to identify new opportunities and relaying them to the Commercial team
* Supporting the Marketing Team with research and obtaining quotes for services
* Organising and file all opportunities, client details, and contracts in SharePoint
* Emailing and supporting the clinical teams with marketing activities such as email campaigns.

We'd Love It If You Had

* Good working knowledge of Microsoft Office (Teams, Outlook, Word, Excel, and Loop).
* Knowledge of the bid process
* Experience using tender portals (Health Force Family, Pro Contract, Intend) is a plus – but don’t worry, we’ll provide training
* Previous experience in a commercial or administrative support role is preferred
* Knowledge of healthcare or neurodiversity is an advantage.
