Job Purpose:
To provide high quality administrative and operational support to the finance and property management team, ensuring the smooth day-to-day management of finances for a variety of residential, commercial and mixed-use properties, in line with lease obligations, internal procedures and industry best practice.
This role requires a highly organised, proactive administrator with prior experience in an administration role essential, with knowledge of block management being an advantage. We are looking for a proactive and reliable member to join our team for a busy block management company in Hove.
Key Responsibilities:
Property & Client Administration
* Act as a first point of call for leaseholders, freeholders and contractors with financial queries
* Maintaining accurate records on our block management software
* Issuing leaseholder correspondence and assisting with information requests
* Supporting property management team with reporting and meeting preparation when required
* Maintaining organised digital filing systems for financial, legal and compliance documentation
Financial & Compliance Support
* Assisting with service charge administration, including: raising demands, credits and adjustments
* Processing supplier invoices in accordance with approval procedures
* Actioning quarterly arrears chasing across the portfolio for collection of service charges
* Assisting with preparation of year end accounts packs and liaising with accountants
* Maintaining organised compliance records, including insurance policies, risk assessments and statutory reports
* Assisting with audit and complicate requires by collating documentation
* Supporting the Finance Manager with tasks where required
Team & Operational Support
* Providing cover within the team during times of annual leave
* Providing lunch cover to the reception desk
* Assisting with office organisation and tidiness
Skills & Experience Required:
Essential:
* Previous experience in an administration role (2 years)
* Strong organisational skills with the ability to manage multiple tasks and deadlines
* Excellent written and verbal communication skills
* High level of accuracy and attention to detail
* Exceptional customer service skills
* Competency with Microsoft packages
Desirable:
* Knowledge of service charge handling or block management
* Knowledge of Microsoft SharePoint
