Main Purpose of Job
Responsible for the efficient, profitable, and safe daily logistical operations of the vehicle rental business. Maximising sales and fleet utilisation of the short-term rental fleet within SFS business (known as the CTS division). Management and continuous improvement of the rental department, striving to ensure all activities are accomplished in the safest and most effective manner to deliver a high level of customer satisfaction and maximum commercial results.
Key Responsibilities / Accountabilities
Maximising Revenue / Profitability
* Maximise fleet utilisation and identify fleet requirements.
* Actively generate sales via working as a team to develop and grow the customer base.
* Update sales database information daily accordingly.
* Process new hire enquiries, using hire charge matrix and collection and delivery calculator.
* Ensure internal data within Fleetwave and hire board is accurate and up to date at all times.
* Analysing market data to set competitive rental rates to ensure CTS is competitive whilst maximising income.
* Along with hire team, complete end to end process following company processes for the hire agreements on, off hire and full invoicing to the customer.
Customer Service Excellence
* Ensuring high levels of customer satisfaction by handling enquiries, managing bookings, and promptly resolving complaints.
* Develop and maintain relationships with customers to build long lasting CTS partners.
* Monitoring and management of cross hire vehicles to support the wider service delivery to customers.
* Proactively managing customer Terms and Conditions, Insurance and Operator Licence compliance documents ensuring they are kept up to date and recorded appropriately.
* Effectively manage customer complaints aligned to company policies.
Operational Efficiency & Fleet Management
* Manage the vehicle fleet and day to day operations of the Hire Department, ensuring vehicles are compliant at all times.
* Working closely with the operational teams to ensure a good range of vehicles are available from the unutilised fleet at all times.
* Working with the broader CTS team to ensure a range of vehicles are available when needed and properly inspected upon return.
* Ensuring timely collection of vehicles from off hire instructions.
* Responsible for ensuring vehicles have had a thorough full off hire inspection and identified issues fully recovered from the customer.
* To be responsible for the implementation of all operational aspects of short-term hires for the business.
Leadership & Administration
* Leading, training, and managing a team of rental coordinators, as well as managing the documentation for rental agreements.
* Ensure effective communication to all internal and external stakeholders is maintained at all times.
* Ensure you are fully proficient in the fleet management system and ensure the hire team use the system effectively and in accordance with processes.
* Process document and ongoing review of all hire processes.
* Ensure all elements of the hire process from initial enquiry to final agreement closure are administered and managed to agreed processes and timescales.
* To promote the Company’s services and maintain Core Values at all times.
Risk & Compliance Management
* Ensuring all vehicles are fully compliant prior to and during hire at all times. Via oversight, ensure vehicle fleet compliance – MOT, LOLER, TACHO, RFL, Periodic Safety Inspections and all other legal obligations are met.
* Creating driver missions for the efficient delivery and collection of vehicles aligned to customer targets. This includes instructing drivers on start times for each delivery.
* Management of drivers to mitigate sole person risk, via ongoing mission management.
* Fully responsible for the short-term hire fleet and the Motor Insurance Database (MID). Daily updating and ensuring accurate at all times.
* Stay updated with industry advancements, technological developments and regulatory changes related to the fleet managed. Briefing leadership team and operational managers along with recommending and implementing best practices and innovations.
About You

* Proven management experience
* Experience in a HGV vehicle rental business
* Excellent telephone manner.
* Knowledge of MS Office systems.
* Computer literacy and keyboard skills.
* Ability to multi-task in a busy environment
* Effective communicator
