Role Description
This is an in person full-time role for an Operations Administrator at Newhaze. The key job roles of the operations administrator will manage our engineers day to day and complete our diary for jobs which also includes facilitating communication between customers to book jobs in. Daily administrative tasks such as managing the email inbox and replying to emails and support customer service activities.
Producing invoices and quotes for customers which will require uploading onto various customer software systems. Filling out membership forms for our membership subscriptions. Keeping our engineers vans files up to date including the correct paperwork/necessary forms needed for each job, access codes/ site entry codes and addresses. Managing the office work phone and filing of paperwork. Keeping up to date records of all maintenance work and when this is completed either monthly, 6-monthly or annually following our annual planner to uphold service standards. Using customer software to keep track of new jobs that we receive and keeping these software systems up to date. Training will be provided for these software systems.
Qualifications
* Strong skills in Operations Management and Administrative Assistance
* Excellent Communication and Customer Service skills
* Proficient Analytical Skills to evaluate operational processes and problem-solving
* Ability to work independently while managing time effectively
* Proficiency in using office software and tools, such as Microsoft Word, Excel and customer software
* Previous experience in building services, maintenance, or a related industry is an advantage (not required but appreciated)
