Job overview
To support the clerical team in the provision of a comprehensive administrative service. To facilitate the forward booking of appointments and procedures for patients.
Ensuring a high-quality service to patients and the directorate, whilst complying with the National and Sheffield Teaching Hospitals polices and guidelines. To record accurately in the Patient Administration System each patient’s arrival, departure, future care plan, 18-week status and clinical coding.
Main duties of the job
Candidates must hold GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience. It is essential that candidates have experience of working within an office environment.
The successful applicant will be an efficient and organised individual who is able to use their initiative to prioritise their workload, a team player with excellent communication / interpersonal skills and the ability to liaise with staff at all levels.
To use Trust computer systems to manage outpatient waiting lists in line with Trust/National policy, and local and National targets. Example systems include: Connect, Workflow, ICE
To enter and maintain accurate data in relation.
To book new, follow up and diagnostic appointments for consultants and nurses.
To ensure full utilisation of all available theatre lists through regular liaison with colleagues, including supervisors, service manager, clinicians and other administrative staff.
To be responsible for contacting patients by telephone, text messaging or letter to confirm outpatient appointments and procedures along with hospital transport arrangements, adhering to the Trust policy concerning patient confidentiality.

Education and Qualifications
* GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience
* NVQ Level II in Business Administration / Customer Service / IT
Experience
* Experience of working within an office environment
* Experience of working in a public facing role.
* Relevant experience within the NHS
Further Training
* Knowledge of / experience of using information and/or customer service systems.
* Working knowledge of Microsoft Office packages including Outlook, Excel and Word.
* Previous experience Connect EPR / area specific software
Skills and Knowledge
* Understanding of data protection issues and the ability to maintain confidentiality
* Excellent communication skills, with ability to deal with staff at all levels.
* Displays use of initiative with effective organisational skill
* Ability to prioritise and work to strict/conflicting deadlines
