Summary
Nottinghamshire County Council is seeking a highly organised, proactive, and confidential Personal Support Assistant to provide essential administrative and secretarial support. The role is focused on ensuring the efficient and effective operation of the office or service area by managing complex schedules, handling sensitive documentation, and acting as a primary point of contact for key internal and external stakeholders. This role requires excellent administrative skills, discretion, and the ability to manage competing priorities in a fast‑paced environment.
Responsibilities
* Provide comprehensive, proactive and confidential secretarial support, including the expert management of an electronic diary, scheduling meetings, and ensuring all necessary preparations (documents, booking rooms, etc.) are completed well in advance.
* Act as the primary point of contact, screening calls, emails, and correspondence, prioritising urgent matters and directing enquiries to the appropriate person or service when necessary.
* Establish and maintain efficient and secure electronic and physical filing systems, ensuring compliance with data protection and record‑retention policies.
* Organise and coordinate travel, accommodation, and related logistics for managers and team members as required.
* Handle sensitive and confidential information with the utmost discretion and integrity, adhering strictly to the Council’s confidentiality and data protection policies.
Essential Qualifications
* Proven experience working in a demanding secretarial, administrative, or personal assistant role, preferably within a large public sector or corporate environment.
* High proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint and Outlook) for scheduling, communication, documentation, and data presentation.
* A demonstrable track record of maintaining confidentiality and exercising discretion when handling sensitive information.
* Excellent organisational and time‑management skills with the ability to manage multiple priorities simultaneously and meet tight deadlines under pressure.
* You should be available to work immediately or at short notice.
* You should have the right to work in the U.K.
