Job Summary
We are seeking a highly organised and professional Care Home Administrator to oversee the smooth operation of our care Home 's administrative functions. The successful candidate will be responsible for managing daily office tasks, maintaining accurate records, and supporting staff and residents through efficient administrative support. This role offers an excellent opportunity for individuals with strong organisational skills and experience in office administration to contribute to a caring and supportive environment.
Responsibilities
* Manage all administrative duties including data entry, filing, and record keeping to ensure compliance with regulatory standards.
* Handle incoming and outgoing communications via phone, email, and postal services with professionalism and courtesy.
* Maintain appointment schedules for staff and coordinate resident care plans as required.
* Utilise Microsoft Office, Google Workspace, and Xero to produce reports, and process invoices accurately.
* Assist with billing procedures, invoicing, and financial record management.
* Support HR functions such as onboarding new staff, maintaining personnel files, and organising training sessions.
* Ensure the confidentiality of sensitive information at all times.
* Organise meetings, prepare agendas, and take minutes to facilitate effective communication within the team.
* Liaise with external agencies, healthcare providers, and families as needed to support resident care.
Skills
* Proven office experience with strong organisational skills.
* Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Googleapplications.
* Experience with data entry, clerical tasks, and managing administrative processes efficiently.
* Familiarity with Xero or similar accounting software is essential .
* Excellent phone etiquette with clear communication skills.
* Ability to prioritize tasks effectively in a busy environment while maintaining attention to detail.
