Conference Assistant/Co-Ordinator

We are seeking a dynamic and organized Conference Assistant/Co-ordinator to join our team. This role involves planning, organizing, and executing a variety of conferences, events, and meetings. This will involve liaising with Housekeeping, Porters and Hall/Kitchen staff as appropriate to ensure that all departments are aware of requirements and expectations.

About the role
5. Providing a high-quality customer focused Conference and Meeting Room service.
6. Communicate with customers face-to-face and/or over the telephone to ensure a professional and polite service delivery.
7. Liaising closely with catering, cleaning, IT and maintenance teams to provide any support required.
8. Setting and re-setting of conference and meeting rooms in a timely fashion. Ensuring that during the working day, meeting rooms are clean, tidy and available for use.
9. Point of contact for all meeting room issues, providing timely response and coordination of remedial works.
10. Advising users on meeting room usage and suitability and provide front line technical support and replacement of meeting room consumables.
11. Reporting faults proactively immediately through the FM Helpdesk.
About you
12. Good time management skill and a methodical approach with an eye for detail.
13. A customer focused approach, exhibiting a reliable and responsible attitude.
14. Previous conference facilities experience would be beneficial but not essential.
15. Articulate and possess good communication skills. They will be able to display an ability to communicate to staff, colleagues and customers at all levels.
16. Able to demonstrate a capacity to work well within a team and show resilience when working under pressure.
17. Adaptable and flexible and have a customer-focused approach to work.
