Job Description
Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to senior leadership. This role demands exceptional administrative skills, discretion, and the ability to manage a diverse range of tasks efficiently.
Responsibilities:
* Manage complex calendars and schedule appointments, meetings, and travel arrangements.
* Coordinate domestic and international travel, including flights, accommodations, and itineraries.
* Prepare and edit correspondence, reports, presentations, and other documents.
* Screen and prioritize incoming communications, including emails and phone calls.
* Act as a gatekeeper, liaising effectively with internal and external stakeholders.
* Organize and manage virtual meetings, including preparing agendas, taking minutes, and distributing follow-up actions.
* Conduct research and prepare briefing materials for meetings and events.
* Manage special projects and initiatives as assigned by executives.
* Maintain confidential files and records with a high degree of discretion.
* Handle expense reporting and other administrative duties as required.
* Anticipate executive needs and proactively address potential issues.
Qualifications:
* Proven experience as an Executive Assistant or in a similar high-level administrative support role.
* Exceptional organizational and time management skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (e.g., Zoom, Teams).
* Excellent written and verbal communication skills.
* Ability to handle confidential information with utmost discretion.
* Strong problem-solving and decision-making capabilities.
* Proactive and resourceful, with the ability to work independently.
