An exciting opportunity has arisen for an Administrator to join our Paediatric Liaison Health Visiting team, part of North Mid in the Community 0-19 service. We are looking for someone who is professional, well-organised, team-oriented, and highly motivated. The administrator will provide effective support to the Liaison Team and contribute to the smooth functioning of the service.
Main duties of the job
* Regular email/telephone liaison with external agencies.
* Prioritise work efficiently and meet deadlines.
* Collect, return, and process A&E attendance cards for children aged 0-19.
* Take minutes as necessary.
* Use spreadsheets, Word documents, and hospital data systems regularly.
* Follow local policies and protocols.
* Maintain records, filing, scanning, and photocopying.
* Perform any duties essential to administrative support.
* Be an active member of the multi-disciplinary team.
* Handle confidential matters appropriately.

Detailed job description and main responsibilities
* Handle daily collection, return, and processing of A&E cards for children 0-19.
* Manage referrals, document handling, and data entry.
* Support team members and maintain accurate records.
* Ensure confidentiality and data protection compliance.
* Participate in meetings, take minutes, and follow up on actions.
* Perform administrative tasks like scanning, photocopying, emailing.
* Use email, RiO, Medway/Careflow, intranet, Internet, and MS Office tools.
* Answer phone and email inquiries.
* Provide cover during staff absence.
* Ensure premises security.
* Handle routine and urgent matters proactively.
* Undertake other duties as needed for efficient department operation.
Person specification
Attributes/Skills
* 5 GCSE passes A–C or equivalent.
* Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
* Knowledge of administrative procedures and software.
* Strong keyboard skills for accuracy and speed.
* Excellent verbal and written communication skills.
* Ability to plan, prioritise, and organise work.
* Teamwork and confidentiality awareness.
* Knowledge of Health and Safety regulations.
* Ability to work independently and as part of a team.
* Willing to learn new skills.
* Minimum 2 years’ administrative experience.
* Experience handling confidential information and NHS systems like RiO.
* Good report writing and minute-taking skills.
