Medical Physics and Clinical Engineering Division Admin Team Leader

Job overview
You will provide leadership of the Admin team which provides key services to the Medical Physics and Clinical Engineering (MPCE) Divisional functions.
The MPCE Division operates across the entire footprint of the Humber Health Partnership and encompasses the following services: -
* Clinical Engineering which operates across four sites: Hull Royal Infirmary (HRI), Castle Hill Hospital (CHH), Diana, Princess of Wales Hospital (DPOW), Scunthorpe General Hospital (SGH).
* Nuclear Medicine Physics providing scientific and technical support for Nuclear Medicine imaging and therapies which operates across three sites: HRI, CHH, and DPoW.
* Radiation Protection and Radiology Physics services that provide scientific and technical support for imaging services and all users of ionising radiations and hazardous non-ionising radiations across the Group as well as partners including over 300 private customers.
* Radiotherapy Physics service that provides the scientific and technical support for cancer radiation therapy.
* Rehabilitation Engineering that provides bespoke support to patients with life changing and progressing disabilities across the Humberside region.
The MPCE Division comprises of approximately 140 engineers, scientists, technicians and support staff.
Main duties of the job
* 1.1.Responsible for the provision of secretarial support to the MPCE Divisional Triumvirate
* 1.2.Plan and manage own day to day workload.
* 1.3.Actively supports the designated manager(s) in his/her role.
* 1.4.Act as a first point of contact for the Head of MPCE and Divisional Leads, providing an efficient service welcoming visitors and dealing with enquires via telephone or in person.
* 1.5.The management of an accurate and up to date diary system, scheduling and planning future meetings.
* 1.6.Ensure the timely organisation of meetings, including the collation of appropriate papers and relevant information in advance of the meetings.
* 1.7.As first point of contact the post holder uses professionalism, tact and experience when taking calls (or in person) from external companies and collaborators.
* 1.8.Ensures annual leave records are documented electronically.
* 1.9.Manages the ordering of stationery requisites and clinical consumables for constituent services/ departments.
* 1.10.Responsible for the maintenance of up-to-date filing systems.
