About the Role
We are looking for a driven and detail-focused Data & Systems Manager to join our team at i2020 in Belfast, supporting the delivery of a high-profile government facilities management contract.
This role is central to ensuring the accuracy, integrity and performance of all data and digital systems used across a complex, multi-site estate. You will lead on CAFM systems, asset data, compliance reporting and sustainability data, ensuring all information is secure, audit-ready and aligned with government and ISO standards.
Working closely with senior leaders across Assets, SHEQ, Sustainability and ICT, you will help drive a data-led, high-performing FM service.
Key Responsibilities
* Data Governance & Systems Leadership
o Lead governance and assurance of all FM data across the contract
o Ensure systems support statutory, mandatory and operational compliance
o Maintain structured data aligned with asset hierarchy (Levels 1–5)
o Ensure alignment with ISO 9001, 14001, 45001 and 50001 standards
o Provide expert advice to senior stakeholders and the Client
o Maintain accurate, validated and audit-ready data at all times
* CAFM System Management
o Manage, configure and optimise CAFM system performance
o Ensure accurate recording of:
o Planned Preventative Maintenance (PPM)
o Reactive maintenance
o Statutory compliance tasks
o Asset lifecycle data
o Contractor performance
o Environmental and energy data
o Ensure workflows support NEC4 requirements including reporting and early warnings
* Asset Register & Documentation
o Maintain a compliant and accurate Asset Register
o Ensure asset data aligns with required hierarchy and standards
o Oversee log books and maintenance documentation (CIBSE TM31 aligned)
o Ensure timely updates, reporting and completion of missing records
* Compliance & Performance Data
o Align PPM data with SFG20 or agreed standards
o Support development of the 10-year PPM Plan
o Maintain compliance plans and audit evidence
o Track and report: Missed or late inspections
o Non-compliance issues
o Outstanding and remedial works
* Sustainability & Environmental Data
o Support carbon and ESG reporting (Scopes 1, 2 and relevant Scope 3)
o Ensure accuracy of energy, water and waste data
o Support ISO 14001 and ISO 50001 compliance
o Contribute to sustainability dashboards and reporting
* Reporting & Analytics
o Produce monthly performance dashboards
o Provide data insights to support decision-making and risk management
o Support NEC4, client and statutory reporting requirements
* Cyber Security & Data Protection
o Ensure compliance with government security and data protection standards
o Work with ICT to manage system access and resilience
o Maintain backup, disaster recovery and business continuity processes
* Stakeholder Engagement
o Collaborate with teams across Assets, SHEQ, Sustainability, ICT and Commercial
o Provide training and support to system users
o Lead continuous improvement and digital transformation initiatives
About You
Qualifications
* Degree (Level 5/6) in Data Management, Information Systems, FM, Engineering, Sustainability or similar
* Professional memberships (IWFM, IEMA, BCS) desirable
* Understanding of ISO standards and government data security requirements
Experience
* Experience in data management, CAFM or FM systems
* Background in property, FM, compliance or sustainability data
* Experience managing asset registers and PPM data
* Strong reporting and dashboard development skills (Power BI preferred)
* Experience supporting audits and compliance processes
* NEC3/NEC4 experience desirable
