We are seeking a dedicated Contracts Administrator/ Paralegal to play a crucial role in supporting this charitable organisations legal and business teams. This position involves managing contract workflows, maintaining accurate records, and ensuring the efficient operation of the contract lifecycle. The ideal candidate will have experience in contract administration or a similar role and will be instrumental in implementing new technology solutions for the legal team. Day-to-day of the role: Data & System Administration: Assist with the implementation of new Document Management Systems (DMS) and Contract Lifecycle Management systems (CLM). Support data migration, integration, and clean-up projects. Conduct regular audits and validation checks to maintain high-quality contract data. Train and onboard legal team members on the DMS and CLM. Contract Administration: Provide administrative support related to contracts. Manage the intake and triage of contract requests, ensuring appropriate routing and prioritisation. Format, coordinate execution, and maintain organised records of contracts. Support the business with self-service for Confidentiality Agreements and maintain a Knowledge Bank/Repository for contract clauses. Contract Capture & Data Entry: Accurately capture contract details and metadata into the DMS and CLM. Maintain consistency and completeness of contract records, ensuring data accuracy across systems. Generate reports and summaries for internal use. Required Skills & Qualifications: Experience in contract administration, contract lifecycle management or a similar role. Diploma/Certificate in Law, Paralegal training, or a related field. Proficiency in Microsoft Office Suite and data management tools (Excel, SharePoint, Power BI). Familiarity with contract management systems (e.g., Intapp, iManage, DocuSign). Strong understanding of contract terms and nuances. Prior experience in managing funding, procurement, shipping, employment contracts. Ability to manage multiple tasks and deadlines in a fast-paced environment. Analytical mindset focused on data accuracy and process efficiency. Excellent communication and stakeholder management skills.
