In this Personal Assistant role, you will provide high-level support to senior executives, with a particular focus on complex diary management. You’ll be responsible for scheduling and prioritising meetings, resolving conflicts, and ensuring the effective use of the MD’s time. Acting as a trusted gatekeeper, you will manage communications, screen requests, and liaise closely with the wider leadership team.

You will also coordinate global travel arrangements, including booking flights, accommodation, and handling logistics such as visas and itineraries. Your ability to anticipate needs, exercise sound judgement, and manage competing demands will be essential to supporting the smooth day-to-day running of the executive office.

To be successful as a Personal Assistant - 12 Months Secondment, you should have experience with:

* Experience as a PA, ideally in a corporate environment.
* Diary and travel management experience.
* Ability to work independently and manage multiple stakeholders.

You may be assessed on the key critical skills relevant for success in role, such as risk and controls, change and transformation, business acumen, strategic thinking, and digital and technology, as well as job-specific technical skills.

Your role will be located in our London office.

Purpose of the role

To manage the executive's schedule, handle correspondence, prepare presentations and reports, and provide other administrative support as needed.

Accountabilities

* Management of senior executive members' calendars and overseeing their timely responses to meeting invitations and requests.
* Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
* Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
* Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management, and organisation management tasks.
* Management and facilitation of senior executive members' meetings.

* Require in-depth technical knowledge and experience in their area of expertise.
* Thorough understanding of the principles and concepts within the area of expertise.
* Lead and supervise a team, guiding and supporting professional development, allocating work, and coordinating resources.

* For individual contributors, develop technical expertise and act as an advisor where appropriate.

* Advise and influence decision-making within own area of expertise.
* Manage risk and strengthen controls related to work responsibilities, ensuring compliance with rules and regulations.
* Understand how own sub-function integrates within the organisation and contribute to organisational objectives.
* Make evaluative judgments based on factual analysis, paying attention to detail.
* Resolve problems by identifying solutions guided by experience and precedents.
* Guide and persuade team members, communicate complex information, and act as a contact point for external stakeholders.
