We are seeking a Receptionist to join our front of house team in our Head Office in Lichfield. This role will suit someone who enjoys a varied workload, with time being equally split between assisting the Board of Directors, as well as managing all Reception and Administration duties. We are looking for someone who can work diligently, with pace, accuracy, and the ability to manage many tasks at any given time.
Location: On site at Clarendon Fine Art, Lichfield.
Hours: Monday - Friday: 8:30am - 5pm (37.5 hours per week).
Salary: from £25,077.
A full UK driving licence and access to your own car is essential for this position.
The Role:
1. General tasks including monitoring the email inbox, taking calls, recording messages, and offering a warm welcome to any clients or guests entering the building.
2. Providing first line support in a Reception / P.A capacity to Board of Directors, including diary management, coordination, and logistics support.
3. Arranging travel across both the UK and internationally with a commercial mind to find the very best rates to ensure cost saving where possible.
4. Dealing with private & confidential correspondence, requiring a high level of integrity and organisation to ensure documents are kept private.
5. Collating and preparing information for meetings, as well as preparing returns and deliveries from Head Office.
6. Running general errands for the Directors as well as adhoc project work to support Heads of Department.
7. Organising refreshments for meetings and events with external caterers, as well as helping to prepare refreshments when requested.
8. Assisting the Head of Procurement with administrative tasks, purchase orders, liaising and negotiating with suppliers and invoicing.
9. Administration tasks such as ordering office supplies, scanning, filing and storing documents in an orderly manner, ensuring compliance with GDPR standards.
10. Composing well written and well-articulated emails to prospective clients, suppliers and employees.
Your Skills:
11. Exceptional organisational skills and strong attention to detail.
12. Ability to prioritise tasks & workload according to importance and company need.
13. Adaptable and able to effectively communicate with all members of staff and key stakeholders up to Director /C-suite level.
14. Positive attitude, with the ability to work at pace and remain calm under pressure.
15. Excellent writing skills, with a warm and engaging telephone manner.
16. Computer literate, with the ability to use Microsoft Packages including Excel, as well as creating PO’s and invoices.
17. Experience in handling multiple tasks with varying degrees of urgency.
