Role Overview
We're looking for a proactive and highly organised Administration/Operations Coordinator to join our dedicated team.
Confidentiality is key in this role and you'll be responsible for overseeing administrative functions and managing Learning for Life systems, including our Management of Information System (MIS), Arbor. This role supports the leadership team in all aspects of organisational operations and is crucial to ensuring the effective day-to-day running of the organisation.
Key Responsibilities include
· Manage day-to-day office operations, including greeting visitors, answering calls, emails, and handling correspondence.
· Data Protection Officer (DPO) for the organisation in line with policy and procedure.
· Develop and maintain learner records, including person-centred plans, risk assessments, behaviour management plans, attendance records, and other essential documentation, in line with policies and regulations.
· Coordinate and process accreditation and exam registrations and arrangements.
· Organise and coordinate internal and external events and meetings for learners and staff.
· Assess, write, and update departmental and organisational risk assessments to ensure robust risk management strategies.
· Ensure compliance with health, safety, and safeguarding regulations, including updating all policies and procedures.
· Support internal audit processes and assist with external audits and inspections.
What We're Looking For
· Business & Administration Level 3 Qualification (or equivalent).
· English and Mathematics GCSE Grade A-C/9-4 (or above)
· Sound experience in using Microsoft Office such as Word, Excel, and PowerPoint applications.
· Experience of Management Information Systems.
· Experience of Safeguarding and relevant Health and Safety legislation.
· Experience of SEN and behaviour that challenges.
· Excellent verbal and written skills.
· The capacity to work under pressure and meet deadlines.
· Excellent communication skills with internal and external parties.
· Experience of attending marketing events.
· Efficient organisational and time management skills with the ability to prioritise workload.
