A new opportunity has arisen in Lockerbie for a receptionist. This is a full time opportunity working 5 days per week from 8.30am to 5pm.
Receptionist / Administrator
This role requires you to be highly organised and self-motivated. You will hold high quality communication skills that enable you to interface between internal departments, clients, internal staff and contractors.
Responsibilities include, but are not limited to:
* Answering, screening and directing calls to relevant individuals.
* Answer emergency telephone.
* To greet and direct visitors to the offices.
* Log incoming mail onto spreadsheet.
* Log mail onto Sharepoint as requires allocating file reference numbers.
* Write and distribute emails, correspondence, memos, letters, faxes and forms.
* Taking detailed messages and relaying these to the correct recipient without delay.
* To book and maintain the conference room electronic diary, coordinating meetings and organise catering, coffee etc.
* Provide general administrative and clerical support when required.
* Process outgoing mail.
* Process daily allocation sheets.
* Log archived data to Data Room or container.
* Nominated person for 4no procedures.
* Maintain lone worker log.
* Operate remote electronic access gates via phone / intercom system.
Act as Duty Officer for incidents during normal working hours.
* Log details of incidents.
* Take appropriate action to deal with incidents (ie liaise with Duty Engineer, Police, Transport for Scotland and other outside agencies).
* Log details of comments / complaints received.
Document Controller
* Compile data for end of month reports.
* Log method statements and risk assessments onto spreadsheet and update Sharepoint.
* Log documents into Data Room.
* Manage and maintain Data Room.
Reports
* Compile data for end of month reports, comments and complaints, environmental waste (eg waste breakdown), information for the Environmental Coordinator and the incident register.
Your Profile
You will:
* Have experience of working in an front of house receptionist role.
* Have a good knowledge of Microsoft programs - Word, Outlook and Excel.
* Have strong communication skills.
* Be extremely organised.
* Have excellent time management skills and the ability to prioritise work.
