Overview
Our busy client based in Stanstead Abbotts is recruiting a Service Co-ordinator to join their friendly team on a temporary to permanent basis to start ASAP. This is a full-time role working from 8am - 5pm Monday - Friday and offers an hourly rate of £12.21 per hour, plus holiday pay (permanent salary £25,396.80).
Responsibilities
* Administer the day to day contracts administration of the service system software database, engineer workload, client systems operation, and customer contracts.
* Ensure that contracts operate within the client’s operational requirements at all times, and keep the line manager informed of any contract failings.
* Create KPI reports for the client on specific time frames and ensure these are delivered on the date required at all times.
* Ensure that all time sheets are correct and cleared down each day, and all notes are added to each consignment daily.
* Invoicing is completed, specifically to the customer's contract.
* Experience in creating Operations & Maintenance manuals would be ideal. The O&M manual is a detailed document containing the instructions to manage and maintain a certain facility or property, created by compiling data from many different sources.
* Answering queries from clients, residents, engineers and management.
* Meeting deadlines – individual calls, appointments, reports, invoicing.
* Using client IT systems, keeping them up to date and compliant.
* Communicating with customers, management and engineers.
* Report writing – both internal and external reports.
* Pricing and invoicing, dealing with invoice queries.
* Managing the escalation of jobs to ensure completion within predetermined timescales.
* Supporting the call handlers by logging calls and arranging appointments.
* Managing and administering engineers time.
* Organising servicing/testing programmes, issuing to engineers, organising remedial works, loading certification/service sheets and ensuring monthly/annual compliance is achieved.
* Assisting with the day to day administration of contracts, emails, typing letters, filing, making appointments and follow on appointments, correlating information as per the contract manager's instructions.
* Using client and internal IT systems and ensuring both are kept up to date in line with contract requirements.
Essential Criteria
* Excellent working knowledge of Microsoft Excel.
* Experience of working within an administrative role.
* Have a keen eye for detail.
* Exceptional communication skills.
* Good administration skills (responding to emails, answering phone calls).
Desirable Skills
* Experience working as a project coordinator or service coordinator.
