Legal Secretary – Clean Energy role at Birketts LLP

Department
The Clean Energy Real Estate team is based in our Bristol office. We advise developers and funders on clean‑energy projects such as solar, battery storage and EV deployment, focusing on rapid project deployment and long‑term client relationships.
Purpose of job
You will deliver professional, proactive secretarial and administrative support in real‑estate matters (options, leases, title reports). The role is largely paperless, but you will also manage the production and archival of original documents.
Accountabilities
Lead the coordination of documentation, diary management and billing support for the team, ensuring timely, accurate delivery across all legal and commercial processes.
Technical ability
* Produce and amend documents with speed and accuracy
* Format, paginate, number and present documents in Birketts LLP house style
* Proof‑read all work for spelling and grammar
* Manage key software packages and lead training to improve relevant skills
* Proactively collaborate with fee earners to meet documentation deadlines and client expectations
* Create and manage datarooms and file management processes
* Maintain diaries of team leaders and fee earners in Microsoft Outlook, arranging national and international travel and managing budgets
* Oversee client onboarding, including processing forms, AML requests and digital system coordination
* Experience with the Land Registry portal and submissions is beneficial but not essential
* Ensure accurate, up‑to‑date electronic and paper filing
* Assist with billing and financial processes: raise bills, produce WIP breakdowns, prepare billing reports, issue credit notes, reconcile credit cards and process expenses
* Handle file closures and record activities in Intapp
