About the Role
We are seeking a capable, proactive, and tech-savvy Executive Assistant to support the operations and growth of a busy online allied health business, which primarily focuses on psychology services, retreats, and self-paced online courses.
This is more than just an administrative role – it’s a trusted partnership with the founder. You’ll manage systems, streamline day-to-day operations, support launches, assist with creative projects, and help build scalable, smooth-running businesses behind the scenes.
There is potential for this role to expand over time to also support a boutique retreat venue in the Hunter Valley and an additional allied health business, depending on capacity and interest.
Allied Health Business Support:
• Manage client bookings, scheduling, and communications via Zanda
• Process Medicare and NDIS claims accurately and efficiently
• Upload, manage, and maintain self-paced online course content (Wix platform)
• Create and format digital resources (workbooks, PDFs, templates)
• Create and schedule basic social media content (posts, captions, reels, stories)
• Assist with launches, automations, email sequences, and system management
Founder Support:
• Manage inboxes, calendars, and task lists
• Organise project plans, offering timelines, and communications
• Anticipate upcoming needs and priorities
• Suggest improvements to workflows and operations
• Act as a creative and strategic sounding board for ideas and new offers
About You
• Must be based in Australia (Sydney or Newcastle preferred)
• Highly organised, proactive, and comfortable working independently
• Experienced in senior admin, practice management, or executive assistant roles
• Skilled in client management systems (Zanda or similar), Medicare, and NDIS processes
• Tech-savvy (Wix, Canva Pro, Google Workspace, basic automations)
• Strong graphic design skills (for workbooks, templates, branded resources)
• Confident with basic social media content creation and scheduling
• Emotionally intelligent, professional, and highly reliable
• Experience working in allied health, psychology, or private practice settings
• Familiarity with trauma-informed, ADHD-aware, or EMDR services
• Interest in expanding into retreat or event support over time
• Hourly Rate: $29.60 – $50.00/hour (based on experience)
• Leave: Annual and personal leave accrued under the National Employment Standards
• Award Base: Health Professionals and Support Services Award [MA000027], Level 6–7
