Duties and responsibilities
Exams
1. Assist Exams team during exam period as required
Hosts
2. Respond to telephone and email enquiries in a timely manner
3. Update hosts on arrival information
4. Keep a record of all hosts enquiring for student bookings.
5. Create hosts’ profiles on Class
Bookings
6. Send confirmation documents to hosts, students and agents.
7. Inform Student Services of any changes to a booking to ensure they change any taxis or transfers.
8. Inform hosts of cancellations and postponed students and sending out documents via email or phone.
Compliance
9. Ensure all Gas Safety, DBS Certificates, Fire Safety Risk Assessments and other required certificates are within date and updated.
10. Ensure all hosts have carried out Prevent and safeguarding training (if required).
11. Regularly update hosts with any new procedures implemented by the college.
12. Update both our digital and physical directory of hosts.
Students
13. Handle general enquiries
General
14. Ensure the stock for host packs are maintained and order more when needed.
15. Ensure office supplies are maintained.
16. File, shred and general ad-hoc office duties
Person specification
Professional experience
17. Previous work experience in an administrative role
18. Experience in using Microsoft Office systems such as Word, Excel and PowerPoint.
19. Experience working within a customer-based role, facing clients and agents.
20. Experience with accommodation or residential roles, including knowledge of local area and local government guidelines.
Personal attributes
21. Able to work independently or part as a team
22. Able to work in a fast paced environment, and be able to work under pressure
23. Able to liaise well with other departments, and good with problem solving
24. Discretion and good understanding of Data Protection.

Formal qualifications
26. 5 GCSE grades 9 - 4 or equivalent
