The Hospitality Department of the Property Division are responsible for operating various cafes, restaurants, bars, events and guest accommodation located across all their Campuses to provide affordable and high-quality food and services for the Imperial community and external clients. You will be required to ensure that the events coordination is in accordance with health/hygiene legislation and departmental/Imperial policies. You will be responsible for coordinating internal and external events and assist event organisers with the planning of their events, entering all event details on to the booking system and keeping all relevant departments informed.
You will proactively engage, and provide support and guidance with the internal community, and external clients and further strengthen the events services that are provided to students, staff, and visitors.
You will be responsible for coordinating the delivery of high-quality events in line with Imperial’s vision and values. You will coordinate the event at all stages, from direct enquiry through to execution, within agreed service standards and with liaison with the Events Sales Executives.
You will be responsible for meeting new and existing clients to maintain a positive working relationship and secure new business. You will ensure accurate data entry and recording of booking information and quotes with the ability to effectively communicate requirements to all contributing Teams. You will ensure the clients requirements are delivered to the highest possible standard and that all contractual obligations are met.
1. Educated to at least A level standard or equivalent qualification/experience in a similar role
2. Previous experience in managing events
3. Experience of prioritising tasks and of managing busy workloads to ensure that deadlines are met
4. Previous experience of working in a team
5. Responsible attitude towards health & safety at work
6. Committed to delivering first class customer service
7. Be highly organised with an eye for detail and accuracy
8. Excellent standard of written and spoken English and numeracy
9. Be computer literate, (. Microsoft Word, Excel, Outlook) and experience of a computerised diary/booking system (ideally Kx) required
10. Have excellent interpersonal and communication skills
11. Tact and diplomacy to deal with people in all circumstances in professional manner
12. Excellent organisational and time management skills, to deliver an efficient and effective service
13. Be flexible and able to work longer hours at business-critical times and across all Imperial campuses which may include evenings and weekends, as and when required
