Purpose of the Job: To provide reception and administrative support within the practice, ensuring high-quality service that contributes to patient satisfaction, practice efficiency, effectiveness, and profitability, in accordance with GDC guidelines and practice policies. Responsible To: The Principal, Practice Manager, and Head Receptionist Responsible For: Supervising and assisting the Trainee Receptionist Employment Duties: Deliver a high-quality reception and administration service, ensuring patient satisfaction. Maintain productive working relationships with all members of the dental team. Liaise with the Practice Manager regarding administration, pay, and service conditions. Supervise and assist the Trainee Receptionist in the practice. Take reasonable care for your own health and safety and that of others who may be affected by your work. Key Tasks: Answer the telephone, deal with patient enquiries efficiently and in a friendly manner. Greet and assist patients and visitors promptly and pleasantly. Inform patients of any delays and notify dentists/hygienists of patient arrivals. Schedule patient appointments in line with practice policies, reminding patients as necessary. Prepare patient records and day sheets for each dental professional. Collect patient payments, record them accurately, and manage debts as per practice policy. Maintain patient records accurately and ensure their security. Perform routine computer housekeeping, including backups in line with practice policies. Liaise with dental laboratories, suppliers, and other organizations, maintaining accurate records. Handle patient feedback and complaints appropriately, reporting to the Practice Manager as needed. Manage the sale of dental sundries, ensuring patients have the opportunity to make purchases. Maintain the cleanliness and welcoming atmosphere of the office, reception area, and patient's toilet. Identify personal training needs and undertake training as agreed during appraisals. Provide feedback on the performance of the Trainee Receptionist. Assist throughout the practice as reasonably requested. Attend all practice meetings as required.
