This is an exciting opportunity for an Occupational Health and Support Line Business Support Administrator to join Staff Care Services and make a meaningful impact with real visibility and responsibility. This role would suit an experienced administrator who is confident managing sensitive enquiries, coordinating busy workflows and supporting a professional team.

The successful candidate will play a key role in ensuring the smooth and efficient running of our Occupational Health and Support Line services, supporting colleagues, counsellors, our clinical team and employees with timely, accurate and confidential administration.
This is a role where organisation, judgement and relationship building are essential with responsibility for managing sensitive enquiries, maintaining accurate records and supporting service delivery.
What you’ll be doing
Managing sensitive telephone enquiries to ensure a professional and confidential response.
Updating and maintaining databases and administrative systems in line with service procedures.
Coordinating the self‑appointment booking system to support timely scheduling.
Processing consultation reports and ensuring follow up actions are completed.
Managing shared mailboxes to meet agreed response times.
Supporting quarterly checks of counsellor insurance and accreditation records.
Sourcing additional counsellors on an ad hoc basis.
Maintaining positive relationships with counsellors and supporting annual knowledge sharing events.
Administering ad hoc Support Line requests including Coaching, Mediation and Trauma referrals.
Providing general administrative support to the Occupational Health Lead and EAP Manager.
What we’re looking for
Proven experience working in a confidential service environment.
Strong organisational skills with the ability to manage workload and meet deadlines.
Confidence handling challenging or sensitive telephone conversations.
Proficiency in use of MS Office packages particularly Outlook, Word and Excel.
The ability to work independently and as part of a team.
Excellent written and verbal communication skills.
A proactive, solutions‑focused and highly accurate approach.
Awareness of GDPR, confidentiality and information governance requirements.
